The Division of Family and Children Services (DFCS), Office of Family Independence (OFI), is currently seeking a professional and dedicated individual to work in a customer-focused work environment. This position reports to the RSM District Manager and will be located in the county of which the incumbent resides. This position has teleworking opportunities once trained in the position. The hours of the position are generally 8:00-5:00 pm however flexibility based on the needs of the agency may be required. JOIN OUR TEAM!!!Job Description Pay Grade: G Under general supervision, the Administrative Assistant 2is responsible for a variety of administrative support functions to assist the District Manager. You will work one-on-one with the District Manager and Deputy District Manager and interact with OFI Leadership and a team of professionals from other business units within the agency. This role requires a high level of customer service and exemplary organization skills; demonstrating trustworthiness and responsible behavior as you perform a variety of administrative duties. Role and Responsibilities:
- Provides high level administrative support virtually to the District Manager and leadership within a large statewide unit. This includes data gathering, setting up meetings, monitoring projects and ensuring electronic filing is up to date and aiding in monitoring customer resolutions.
- Maintains confidential information.
- Maintains efficient documentation and filing system, which includes TEAMS, SharePoint and OneDrive on a variety of items.
- Completes forms in accordance with organizational procedures and routes to appropriate parties.
- Composes, types, and distributes meeting notes, routine correspondence, and reports.
- Compiles data as requested for unit supported.
Minimum Qualifications
- Associate's degree from an accredited college or university AND One (1) year of related experience.
OR
- Three (3) years of related experience.
Preferred Skills/Qualifications: Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all the following education/skills/experience:
- Three (3) or more years of administrative support experience.
- Demonstrated experience in office administration.
- Demonstrated experience providing administrative support to management staff.
- Advanced proficiency in using Microsoft Word, Excel, Outlook and PowerPoint, TEAMS, OneDrive and SharePoint software.
- Two (2) years of Office of Family Independence related experience.
- Exhibits exceptional time management skills and a strong ability to work independently.
- Effectively prioritizes tasks, meets deadlines consistently, and utilizes productivity tools to enhance work efficiency.
- Demonstrates self-motivation and the capability to manage responsibilities with minimal supervision while maintaining a productive work environment.
