**We are currently seeking a motivated and experienced Administrative Assistant to join our team at Triad National Security-Carlsbad Operations in** **Carlsbad, New Mexico** **. This position is essential for providing administrative support to the Repository Science and Operations (RSO) Division, which is responsible for delivering technical expertise in transuranic (TRU) waste treatment, packaging, characterization, acceptable knowledge, transportation, and inventory management for the Department of Energy's Carlsbad Field Office (CBFO).**
**The selected candidate will serve as the primary interface for the program, necessitating a strong commitment to high standards of administrative professionalism. Key expectations for this role include:**
+ Maintaining meticulous attention to detail and ensuring accuracy in all tasks.

+ Demonstrating independent judgment and possessing robust problem-solving skills to effectively anticipate and resolve challenges.
**As a member of the Administrative Team, the candidate will collaborate closely with colleagues and will be accountable for meeting deadlines and commitments. Specific responsibilities include:**
+ Providing onsite office coverage from Monday to Friday, 8:00 AM to 5:00 PM.
+ Managing front desk operations, including handling visitors, answering phones, and receiving/distributing mail and packages.
+ Coordinating calendars for division managers and conference rooms as needed.
+ Serving as a timekeeper for the program.
+ Overseeing incoming and outgoing correspondence, documents, and signature items.
+ Ordering and tracking supplies for the program.
+ Executing complex administrative functions that require tact, diplomacy, discretion, and sound judgment, particularly when dealing with sensitive and confidential information.

**What You Need**
**Minimum Job Requirements:**
**Administrative Support**
+ **Experience as front desk representative.**
+ **Familiarity with office machines (e.g. fax, printer, etc).**
+ **Knowledge of office management and basic bookkeeping.**
+ **Demonstrated proficiency in calendar management, scheduling meetings and logistics, visitor processing, accurate data entry and tracking, and time keeping.**
**Organization and Time Management**
+ **Proven ability to organize, prioritize, and follow through to completion on multiple tasks, often under strict deadlines, with frequent interruptions and changing priorities in a dynamic working environment.**
+ **Experience handling sensitive, personnel-related information.**
+ **Demonstrated record of dependability, availability, attendance, and punctuality.**
**Business Systems**
+ **Demonstrated knowledge and experience with WebEx, MS Teams and Microsoft Office Suite (particularly with Outlook, Excel, PowerPoint, and Word).**
+ **Ability to independently interpret data and information to produce professional Word documents, Excel spreadsheets, and PowerPoint presentations.**
**Problem Solving**
+ **Demonstrated resourcefulness in analyzing and evaluating complex problems to arrive at successful solutions.**
+ **Ability to find workarounds to accomplish goals when systems or individuals are not cooperative.**
**Communication**
+ **Excellent interpersonal, verbal, and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations.**

**Education/Experience:** **Position requires a High School Diploma and 2 years related experience; or an equivalent combination of education and experience directly related to position.**
**Desired Qualifications:**
+ **Knowledge and experience with Laboratory business systems, organizational structure, and administrative policies and procedures.**

**Additional Details**
**Directive 206.2** - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
**No Clearance:** Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.
**New-Employment Drug Test:** The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
