The Department of Neuroscience and Regenerative Medicine is charged with conducting high-impact original biomedical research and translating the findings to clinical applications, and in educating future physicians and researchers. Our research addresses fundamental questions in basic and translational neuroscience, particularly in neuronal degeneration and regeneration.

Job Summary
This position requires a high level of discretion due to confidential data for faculty, students, and staff. This position is the assistant to the Chair of the Department of Neuroscience & Regenerative Medicine and responsible to ensure compliance with institutional, state, and federal regulations; oversee faculty travel and outside activity, manage and coordinate departmental seminar series including arranging guest speakers talks and coordinating their itineraries, honorariums and travel expenses, coordinates faculty recruitment visits, oversees annual faculty annual evaluation and promotion & tenure, responsible for time entry and approval, (biweekly and monthly) for faculty and staff, responsible for laboratory moving and surplus requests and capital asset inventory and monitor and manage expenditure accounts belonging to the department, coordinate facility projects.
Responsibilities
The duties include, but are not limited to:
Coordinates Activities: Coordinates all activities for the Department Chair, including coordinating and scheduling meetings, travel arrangements, handling confidential correspondences, compiling confidential information for faculty evaluations/salary, etc.
Time Approval: Responsible for time approval entering and approving leave for exempt employees and approving bi-weekly employees' time.
Capital Asset Manager: Capital Asset manager for the department and is responsible for laboratory moving and surplus requests and large capital asset inventory, currently over 800 assets.
Faculty Travel: Oversees faculty travel, prepares travel authorizations and travel expense statements adhering to current regulations. Oversees outside activity, prepares OAI and OA2 documents for all faculty.
Coordinate Seminars: Manage and coordinate seminar series for the department. Assign speakers, coordinate their travel, honorariums, travel expenses, and itineraries. Coordinate faculty recruitment processes to include creating and distributing itineraries, coordinating and scheduling travels, etc.
Departmental Meetings: Coordinate departmental faculty and committee meetings. Oversee all aspects of annual symposium and retreats, arranging venue, coordinate external speaker travel and itineraries, invitations, catering arrangement, etc.
Faculty Evaluation: Oversees annual faculty evaluation and promotion & tenure applications for 26 faculty. Collect and compile data and appropriate forms for annual evaluations. Work directly with faculty to compile P&T portfolios using the newly implemented Interfolio system.
Other: Perform other related duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university in a related field and four years of progressively responsible administrative support experience.
OR
High school diploma/GED and seven years' progressively responsible experience in administrative support positions.
Preferred Qualifications
Experience with Seminar/Faculty Recruitment/Symposium Oversight/Coordination, Mgmt Capital Asset Inventory, Promotion and Tenure, Travel TA and TES, Time Entry and approval in One USG, Faculty Evaluations.
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Detail-oriented with excellent interpersonal, written, and verbal communication skills.
ABILITIES
Ability to maintain confidentiality.

Pay Band: B5
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
