GENERAL DESCRIPTION:
This position provides administrative support duties to the Cancer and Chronic Disease Prevention Unit.
This position provides administrative support to the program in areas including, but not limited to customer service, fiscal processes and documentation, and general administrative program processes.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.
* Responsible for the operation of a multi-line telephone system
* Prepare outgoing mail, sort and distribute incoming mail
* Perform clerical duties such as data entry, ordering and maintaining supply inventory, filing, copying, answering phones, and taking messages
* Make travel and lodging arrangements for staff
* Provide customer service to patients, providers, staff, visitors, and the public
* Accurately maintains agency files and records; inputs data into databases
* Processes, organizes, and maintains fiscal payment and records.
* Reviews, formats, and routes correspondence, contracts, and other items that require approval from the division administrator up to Director's office level
* Other duties, as assigned
Qualifications
PREFERENCES:
Preference may be given to applicants with two or more years in administrative support experience. Experience in customer service, and experience with Microsoft Office and Google Suite products is a plus.
KNOWLEDGE:
* Ability to organize and prioritize work
* Skills and proficiency with Google Suite and Microsoft products
* Ability to appropriately handle confidential and protected information
* Skills in oral and written communication
* Knowledge of techniques for providing a high level of customer service
* Knowledge of the basic principles and procedures of financial record keeping and reporting, basic accounts payable, and purchasing.
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
OR
Education & ExperienceSubstitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

Necessary Special Requirements
PHYSICAL WORKING CONDITIONS:
* Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
* Up to two days of telework per week may be available for this position.
* Special physical demands are not required to perform the work.
