This recruitment is open to current DOC staff only

Our agency is looking to hire a permanent Administrative Assistant 3 role within the Reentry Division. This position is based in Tumwater, WA at DOC Headquarters. Hours of work are 08:00 a.m. - 04:30 p.m. Monday - Friday. This position is required to be in office four (4) days a week, with one day of allotted telework.

The Mission of the Washington State Department of Corrections (DOC) is to improve public safety by positively changing lives.

The Reentry Division is responsible for the implementation of evidence-based practices and the operational support to facilitate incarcerated participation in and/or to provide evidence-based and research-based interventions and promising practices/programs designed to decrease recidivism, which increases staff, incarcerated and public safety.

The Department of Corrections (DOC), in collaboration with its criminal justice partners, will contribute to staff and community safety and hold incarcerated accountable by conducting appropriate screenings, assessments and evaluations to assess the risks and needs of the population and by providing services to address the risks and needs across the continuum in the least restrictive setting needed to ensure protection of staff, incarcerated and public. This position will be responsible for tracking and monitoring the identicards and who is not receiving the identicard before transfer to partial confinement or release.

Some of what you'll do as an AA3:

* Assist in devising unit standards and/or procedures to ensure adherence to policies regarding tasks such as contract administration, and MOU monitoring and billing.

* Monitor and identify concerns with Social Security card process, to include how long it takes for the card to be sent to the prison; prison records timing to send the applications to SSA; MOU; prison counselors submitting application.

* Birth Certificate process and monitoring.

* Identicards and Personal Driver's License renewal/replacement training, access granting, communicate with DOL to ensure a billing process and tracking data process.

* Prepare reports, contracts, and proposals:

* Work closely with the Deputy Assistant Secretary for the Reentry Division and the Project Manager supervision to modify contracts, MOU's, and proposals.

* Prepare reports for executive DOC management and government requests.

* Work with other DOC divisions (records, classification, etc.) to create workflows that will reduce barriers, identify gaps, and make recommendations for changes.

* Work with external agencies to create processes that remove barriers and creates pathways for people reentering the community.

* Report the number of identicards and personal driver's license applications submitted by prison facility to Reentry Division administration.

* Report the number of identicards and personal driver's license applications denied by DOL.

* Report the number of Social Security cards replaced.

* Report the number of Birth Certificates processed.

* Report the number of DD214 are received or replaced.

* Site Training for vital records.

* Develop employee training, visual aids, or other materials, schedules and conducts presentations and/or training:

* Update training, PowerPoints and other materials when necessary

* Schedule in person site visits at prisons, Reentry Centers and Field Offices annually

* Participate in presentations and/or training

Other duties as assigned*

Required Qualifications:

High school graduation or GED and three (3) years* of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.

* Knowledge of office procedures and practices; business management practices, research methods and data collections; communication and correspondence practices.

* Ability to: work independently; read, understand, and interpret policies and procedures; develop written reports; work effectively with others; communicate effectively, both in writing and speech, model agency values and procedures.

* Formal education may substitute year for year for required experience

Preferred Qualifications:

* Proficiency with computers including Microsoft Office Suite, Excel, SharePoint and Power Point.

* Strong organizational and people skills. Familiarity with the internet and email programs.

* Excellent written and verbal communication skills.

* Possess and maintain a vehicle operator's license valid in the state of Washington.
