Learn more at Position Summary:The Saint Louis Zoo is looking for a positive and experienced professional to join both the Animal Health Department and the Research Department as an Administrative Assistant. This position helps to support 14 members of Animal Health, which includes veterinarians, veterinary technicians, a pathologist, and quarantine staff, as well as 8 Research scientists and technicians. The ideal candidate will manage essential needs for each Department.Responsibilities:The well-being and care of our staff and animals is our highest priority at the Saint Louis Zoo. TheAdministrative Assistant will provide overall administrative support and manage the essential needs of the staff at the Zoo's Endangered Species Research Center & Veterinary Hospital. Responsibilities of this position include:
- Manage all aspects of department finances at a high level: making purchases, processing invoices, reconciling credit cards, routing expense reports, and tracking budget spending
- Enter work orders for building maintenance requests
- Manage Animal Health department calendar
- Schedule veterinary health exams
- Assist with outgoing animal transfer logistics
- Handle travel, lodging, and reimbursement for visiting scientists, consultants, and interview candidates
- Serve as a liaison with Animal Care curators and managers, as well as other Zoo departments
- Allow entry requests from front and back door throughout the day
- Receive liquid nitrogen truck deliveries and medical oxygen truck deliveries
- Receive applications for and manage communication with veterinary student preceptors and interns
- Maintain confidential and sensitive information
- Data project management as needed
- Relay Guest Relations calls, emails, inquiries
- Other tasks or projects as needed
Qualifications:
- High School Diploma or equivalent required. College degree preferred.
- Strong administrative skills required. Must have the necessary interpersonal skills to serve as an excellent ambassador for the Departments of Animal Health and Research.
- To perform the job effectively, candidate must be detail-oriented, manage time effectively, and apply critical thinking techniques to analyze and solve problems.
- Ability to handle multiple projects in a fast-paced environment.
- Demonstrate computer proficiency and typing skills. Experience with Microsoft 365 is required.
- Communicate effectively with supervisory staff, co-workers and other departments, both written and orally.
- Candidates must have the physical ability to perform required duties as assigned, including: standing, sitting and walking for periods of time, or bending, squatting, lifting at times.
- Must have the ability to follow safety protocols, demonstrate focus, follow written verbal instructions.
- Provide positive guest experience for visitors and staff and effectively promote organization.
- Must treat all members of the Zoo Community with world-class customer service skills.
Additional Job Details:
- The hours for this position are Monday-Friday, 8am-5pm.
