Position Type: Secretarial/Clerical/Secretary - Year-round Date Posted: 12/30/2024 Location: Valley View Community School SCHOOL ADMINISTRATIVE UNIT 61 FARMINGTON, NH POSITION DESCRIPTION ADMINISTRATIVE ASSISTANT CLASSIFICATION: Non-Exempt GENERAL RESPONSIBILITIES: Under the direct supervision of the Principal, this position provides administrative support and secretarial services for the school staff. The Administrative Assistant has the primary responsibility to assist the Principal and the Assistant Principal with the day to day operations of the school. The administrative assistant must be a self-starting, well-organized individual who pays attention to the details required by each assignment. The person must be self-directed and have a good sense of judgment to prioritize job completion. The administrative assistant position is highly visible and therefore must foster an attitude of cooperation and positive public relations with all school personnel and the public. MINIMUM QUALIFICATIONS: High school diploma or equivalent. At least one (1) year of administrative support experience. High degree of competency in secretarial and office skills. Self-starting with strong ability to work independently. Ability to work collaboratively with co-workers and employees. Strong organizational skills. Strong time management skills. Excellent written and verbal communication skills. Detail-oriented. Professional and pleasant demeanor. High degree of discretion and confidentiality for personnel and other sensitive information. Working knowledge of MS Office, Google docs, Gmail and google calendars. PREFERRED QUALIFICATIONS: Associates degree or equivalent. 2-4 Years of experience in an administrative assistant or secretarial role. Professional experience in a school district preferred, but not required. Prior experience in bookkeeping preferred, but not required. REPORTS TO: Principal with evaluation in accordance with District and Board Policy. SUPERVISORY RESPONSIBILITY: This position has no supervisory responsibilities. ESSENTIAL FUNCTIONS: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Duties and responsibilities may include, but are not limited to: Foster an attitude of cooperation and positive public relations with the school patrons, School Board members and members of the community. Be knowledgeable about, and interpret school policies and rules as applicable. Prepare correspondence, notices, bulletins, and reports as directed. Receive, screen and prioritize calls. Coordinate visitor sign ins, sign outs, and student dismissals. Monitor and assist communication between buses, parent calls and other schools. Distribute U.S. and interschool mail. Maintain an adequate inventory of supplies and materials. Maintain office/copy room machines, including faxes, copiers, etc. Organize and maintain student files, both electronic and hard copy. Other filing may be done as necessary. Manage and maintain records for accounts payable/receivable, as well as general bookkeeping for building level accounts. Enter purchase orders as needed. Prepare, manage, and maintain monthly /annual reports, and other records. Register new students. Other duties assigned, as deemed necessary by the Principal. WORKING ENVIRONMENT: Physical ability to perform the essential functions of the job as outlined above, in addition to the following: While performing the duties of this job, the employee is frequently required to stand, walk, and sit. The employee is regularly required to see, talk, and hear. The employee is occasionally required to reach with hands and arms, climb steps, stoop, kneel, or crouch. 2.
