Our research and academic programs are all curiosity driven with focus on research and scholarly excellence; academic innovation and the student experience; faculty renewal and support; local and global public engagement.The OpportunityAlumni Affairs and Development (AA&D), Arts & Sciences (A&S) is seeking a highly organized and proactive Administrative Assistant to provide vital support to the Director of Development, Stewardship Officer, and Major Gift Officers. This role involves a mix of administrative and programmatic duties aimed at ensuring smooth operations within the unit. The ideal candidate will be a strong communicator with excellent organizational skills and a keen eye for detail, able to collaborate effectively with college leaders, alumni, and internal stakeholders.Key Responsibilities:Gift Acknowledgment: Partner with the Stewardship Officer and Major Gift Officers to draft and complete gift acknowledgment letters from the Dean, President, and other college leaders. Track and process all gift acknowledgments, including presidential and dean's letters.Stewardship Support: Provide support for the college's stewardship activities, including generating reports, conducting gift research, and assisting with special initiatives.Program Assistance: Participate in Giving Day activities, distribute stewardship reports, and handle ad hoc requests from A&S departments, programs, and clubs.Administrative Support: Handle minor administrative tasks such as processing expenses, reimbursements, and providing database and list support. Respond to general inquiries and manage a variety of requests efficiently.Customer Service: Act as the first point of contact for alumni, parents, faculty, and staff, responding to inquiries and making referrals as necessary.Collaboration: Coordinate with the AA&D administrative team to ensure all tasks are completed in a timely and efficient manner, using judgment to escalate non-routine matters when necessary.This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY. This position follows a 3:2 campus-to-home hybrid work arrangement after a period of orientation and training. This hybrid work arrangement is subject to change at any time. Typical work hours are 9am to 5pm Monday through Friday with occasional evenings to assist with departmental events.What You NeedWe are looking for a team member who is a self-starter, able to multi-task, detail and process oriented, and excels in verbal and written communication. Additionally, you will:Hold an Associate's degree and 2 to 4 years relevant experience or equivalent combination.Have experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.Be experienced in planning and implementing successful events.Be proficient with Windows software packages and databases.Have strong interpersonal skills, effective communication skills and collaborative and appropriate telephone and in person demeanor.Have excellent writing, proofreading and editing skills.Utilize strong organizational skills with the ability to manage and prioritize multiple projects/assignments, work under pressure and meet competing and established deadlines.Maintain a high degree of confidentiality.Work occasional evenings and weekends.Work well with others across various communication channels.Cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.If you possess these experiences and skills this may be the role for you! There are a few other qualifications we would view as incredibly helpful in this role, to include:Bachelor's degree.Experience in the engagement and development field.Four years of professional office experience with a strong customer service element or equivalent combination of education and experience.Proven experience supporting the work of Director level staff.Knowledge of Cornell and the College of Arts and Sciences.Experience with AA&D related tools and software, i.e.; Hyperion Brio and/or PeopleSoft, OBIEE, Tableau, IModules, CUVolunteer, etc, is welcomed.A cover letter and resume are required for further consideration for this position.Rewards and BenefitsThis position is eligible for a hybrid work arrangement.
