Job Description:
SIFMA and SIFMA AMG are currently seeking an Administrative Assistant to support four managing directors within SIFMA's Retirement Policy and Asset Management Group. We are seeking a high energy, detail-oriented Administrative Assistant with experience in proactive calendar management. This position requires a polished and proactive team player who can prioritize and manage assignments with multiple Managing Directors. This position is based out of the SIFMA Washington, D.C. office. Responsibilities
  • Routine administrative duties include preparing correspondence, preparing expense reports, maintaining ongoing workstream documents, assisting with front desk phone coverage and other general administrative duties;
  • Coordinate all travel arrangements and be proactive in responding to any ad hoc travel changes;
  • Communicate with SIFMA members, government officials, and regulators with a high level of customer service, professionalism, and confidentiality in all communications;
  • Produce accurate, properly formatted documents, agendas, emails, and supporting documents under sometimes tight time constraints;
  • Assist in editing and formatting comment letters, board subcommittee agendas and other workstream documents;
  • Maintain complex calendars; schedule all appointments, meetings, and conference calls;
  • Coordinate all arrangements for in-person meetings; ability to communicate with our SIFMA NYC office to facilitate the team's meetings held in the NYC office;
  • Maintain and update Committees, Forums, and Task Forces in our online database;
  • Handle telephone calls, including screening incoming calls, mail, and packages;
  • Ensure all assignments/projects are completed with accuracy and efficiency, including follow-through to ensure that appropriate and timely actions are taken;
  • Establish and maintain effective professional business relationships with all levels of management, employees, and external parties.
Qualifications
  • Bachelor's degree along with a minimum 2 years of administrative support experience is required;
  • Strong communication skills across multiple communication channels
  • Demonstration of excellent administrative, organizational, time management as well as written and verbal communication skills;
  • Technical skills including a full working knowledge of Microsoft Office Suite, Concur and familiarity with database use and functionality;
  • Ability to prioritize tasks/workload;
  • Commitment to provide superior customer service with all levels of internal management and staff, as well as external clients;
  • Ability to work independently with minimal supervision and as part of a collaborative team environment
  • Ability to anticipate needs and work proactively to support managing directors;
  • A superior work ethic including being punctual, demonstrating work effectiveness, persistency, and commitment.
