WHO YOU ARE: You are a highly motivated and professional administrative assistant with maintenance experience ready to join the Facilities Operations and Maintenance team to provide and promote a safe and comfortable environment for agency employees. You are a self-starter skilled in all facets of commercial building maintenance, a problem solver, and a team player. WHAT YOU WILL DO: The Administrative Assistant III performs complex (journey-level) administrative support work using strong organizational skills with attention to detail and the ability to handle multiple priorities while meeting strict deadlines. Must possess a positive take-charge attitude, the ability to communicate effectively and professionally, the willingness and ability to adapt, and the ability to work rapidly with accuracy. Must possess a willingness to learn all aspects of department procedures. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. YOU WILL BE TRUSTED TO: - Manage and oversee the Facilities Computerized Maintenance Management System (CMMS) and create and distribute work orders. - Track and enter inventory into the CMMS system while recording the initial stock level of each spare part and update the database in real time to reflect current stock levels. - Monitor the flow of parts as they are received and issued. - Create reports from CMMS system and create spreadsheets to track work orders and labor hours. - Manage the loading dock to receive shipments that require receipt signature, monitor the loading dock door to ensure the loading dock is secured and locked as needed. - Manage the tool room, inventory of tools, and track all tools with any technicians by using sign in/ sign out procedure. - Manage the parts room and keep it clean and organized. - Assist Maintenance technicians with minor work requests. -Performs other duties as assigned. You Are a Great Fit With: -Experience with Windows-based PC programs, including Word, Outlook, and Excel -Experience with writing, emailing, and sending correspondence. -Experience with data entry. -Detail oriented to quality check documents. - Ability to interact effectively, cooperate and collaborate with others in a team environment, multi-task and meet deadlines. -Knowledge of office practices and administrative procedures -Skill in the use of standard office equipment and software. -Ability to Implement administrative procedures. -Ability to interpret rules, regulations, policies, and procedures. -Ability to communicate effectively. -Ability to provide guidance to others. YOU QUALIFY WITH: -Two years of full-time experience that provided knowledge of administrative support functions and office practices and procedures, or clerical administration and business management practices, such as preparation, maintenance, and control of forms, records and reports. -Relevant academic credits may be applied toward experience qualifications for this position.
