GENERAL STATEMENT OF FUNCTION: Reports to the AVP, School of Nursing and Health Professions.

Job Duties

GENERAL DUTIES AND RESPONSIBILITIES:

* Produce letters, reports, memos, and minutes from rough drafts utilizing word processing skills.

* Prepare electronic schedules each semester using Banner, including data input and student registration.

* Prepare instructor/adjunct contracts, overload cover sheets, and overload spreadsheets.

* Compile, input, and maintain data for college, state, and federal reports.

* Responsible for organizing and coordinating district tasks within the School of Nursing and Health Professions (i.e., assigning codes for academic personnel, reporting monthly copy counts to vendor, etc.).

* Fulfill requests from MGCCC SON&HPs administrators, school chairs, and faculty.

* Maintain an accurate and complete electronic and paper-based filing system for purchasing and inventory.

* Maintain employment records for SON&HPs faculty.

* Prepare specifications for quotes and bid tabulations as required.

* Process purchase requisitions, check requests, procurement card reports, travel requests, activity forms, leave forms, etc. as required.

* Purchase supplies and equipment and maintain detailed record of purchases.

* Maintain effective working relationship with college personnel, students, and the community.

* Handle communication via telephone, emails, in-person interactions, etc. with internal and external stakeholders in an effective, courteous, and professional manner.

* Arrange for college vehicles, transportation, reservations, and lodging requirements, and travel reimbursement as requested.

* Upgrade skill level and performance through employee development by completing at least 15 hours of Employee Development training annually.

* Demonstrate exceptional adherence to work schedules and policies.

* Process procurement card purchases and prepare and check procurement card statements for accuracy.

* Develop and maintain Excel spreadsheets.

* Prepare and maintain accounting ledger for each account assigned.

* Verify and monitor college budgets for accuracy.

* Assist in the coordination of accreditation and School planning sessions

* Assist students as needed.

* Perform other duties as assigned.

Mandatory Qualifications

(M1) Minimum of an Associate degree in Business and Office Technology or related field and four years office work experience.

(M2) Proficiency in Microsoft Office Suite, including proficiency in Word, Excel, and Outlook.

(M3) Experience with budgets and purchasing.

(M4) Effective organizational and communication skills.

(M5) Superior interprofessional and customer service skills.

Desirable Qualifications

(D1) Bachelor's degree in business or related field.

(D2) Experience in administrative duties in a healthcare setting.

(D3) Community college experience.

(D4) Experience in using Banner software.

(D5) Experience in healthcare compliance.

(D6) Experience with instructor/adjunct payroll and class scheduling.
