The Administrative Assistant, BLA, provides essential administrative support to the SVP of Business & Legal Affairs and the team. This role requires strong organizational skills, attention to detail, and the ability to manage a variety of tasks in a fast-paced environment. The Administrative Assistant will ensure efficient workflow within the department and support key functions with a proactive and professional approach.
What you'll do:
* Manage the SVP's calendar, including scheduling meetings, appointments, and coordinating travel arrangements.
* Prepare meeting materials, agendas, and presentations for the SVP and departmental meetings.
* Process and track expense reports, invoices, and other financial documents.
* Maintain and organize departmental files, databases, and records, ensuring easy access and retrieval.
* Assist in the preparation, review, and management of contracts, agreements, and other legal documents.
* Provide logistical support for department events, trainings, and presentations.
* Monitor office supplies and coordinate ordering and replenishment.
* Serve as a point of contact between the SVP, other departments and external stakeholders.
* Assist with special projects and initiatives as assigned.
Who you are:
* Bachelor's degree.
* Minimum of 2 years of experience in an administrative or assistant role, preferably within the music or entertainment industry.
* Strong organizational skills with the ability to prioritize tasks and manage time effectively.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to handle sensitive and confidential information with discretion.
* Detail-oriented and capable of managing multiple tasks simultaneously.
* Positive attitude and willingness to take on new challenges.
* Achievement-oriented and a self-starter, taking initiative in appropriate situations.
* Strong computer skills with a desire to learn new systems.
