Primary Duties & Responsibilities
Serve as primary receptionist for Community Development and Senior Services, assisting internal and external customers by phone, email, and in person. Respond to inquiries, offer information, and direct individuals to appropriate staff members. Draft, transcribe, type, edit, copy and/or distribute correspondence, meeting minutes, reports, and documents.Arrange and assist with various meetings including, securing meeting rooms, distributing meeting notices, preparing agendas, recording minutes, and preparing handouts as needed.Assist with the scheduling and renting of Calhoun County Park pavilions.Verify, enter, and process vendor invoices for payment authorization. Prepare reports on vendors/contractors and spending patterns for Senior Millage-funded programs and maintain spreadsheets on client utilization and demographics.Prepare contract documents and facilitate execution and compliance with contract terms. Maintain and update Community Development related webpages.Conduct research, collect information, and confer with others to assist in management decision making. Perform other general clerical duties as needed, such as copying, faxing, scanning, processing mail, maintaining/ordering office supplies, and processing invoices.Assist with the planning and presentation of special events.Sort and distribute mail upon receipt daily.Perform other duties as assigned. Qualifications
- High school diploma or equivalent required; Associate's degree preferred.
- Two to four years of experience in secretarial or related field.
- Ability to travel between County buildings and attend off-site meetings as needed, with reliable transportation.
- Computer skills necessary to effectively utilize word processing, databases, spreadsheets, scanning and imaging, e-mail, internet, and meeting scheduling is required.
- Ability to network with others and to build trusting relationships with employees, co-workers, elected officials, and department heads.
- Communication skills necessary to provide excellent customer service and accurate information to the public, vendors, clients, and all levels of County personnel.
- Ability to frequently multi-task and handle simultaneous projects requiring concentration and attention to detail with occasional distractions due to people and/or telephone calls.
- Ability to handle difficult situations and conflicts that may arise in a professional manner, as well as deal with pressures related to meeting deadlines and other scheduling requirements, etc.
- Excellent organizational, concentration and attention to detail skills.
