We are seeking a highly organized and detail-oriented individual with excellent interpersonal and communication skills for permanent, 12-month administrative assistant position. Salary commensurate with educational degree level, skill and experience. Works 244 Days with allotment of sick, personal and vacation days Excellent health benefits, family coverage Life insurance This position reports to the Director of Human Resources and is located at the District Administration Offices. Key Responsibilities: Maintains District and employee confidential information, including but not limited to: Professional and classified seniority lists; record of yearly salary, tenure and certification for professional personnel; internal transfers; and all employee personnel files. Administers records and approvals for leaves of absence, including medical and FMLA. Works with payroll department to calculate paid days off. Enters leaves into the absence management system and supports building principals in assigning extended or long-term substitute coverage. Sends, receives, checks for completeness, and files all District new hire paperwork. Maintains and updates personnel and confidential files. Follows district document destruction schedule. Verifies employment. Prepares certification files and data for state reporting. Sends all postings for professional, classified, and supplemental positions. Prepares personnel logs and School Board letters for monthly School Board meetings. Records and updates job descriptions. Processes continuing education tuition reimbursement and lateral salary moves. Maintains and updates department budget; administers purchase orders and invoices. Responsible for maintaining department inventory and distribution of supplies. Supports HR Director in communicating HR processes and procedures regarding leaves and tuition reimbursement per the collective bargaining agreements. Skills and Qualifications: Strong attention to detail and the ability to prioritize tasks effectively. Experienced in organizing and maintaining data bases. Capable of working independently and solving problems in a fast-paced environment. Technology skills - Microsoft Office Products. Ability to manage confidential information with discretion.
