The Administrative Assistant provides administrative support for the Counseling Ministries Department and by assisting professors, adjunct professors, and the department chair in their educational and administrative tasks as well as serving students and other DTS staff. Duties include handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings.

Duties/Responsibilities

* Answer telephone, emailing, filing, and copying

* Plan departmental events (Practicum Day, Fall and Spring Orientation Pizza Parties, Graduates Luncheon)

* Meet registrar and book center deadlines each semester

* Communicate directly with the Texas State Board of Examiner for Licensed Professional Counselors and monitor developments and changes in state licensure requirements

* Respond to needs of students

* Assist MAC faculty with syllabi and course material (handouts and PowerPoint Presentations, Simple Syllabus, Canvas)

* Provide student advising and practicum location assistance, including updating practicum site directory and communicating with various site supervisors

* Prepare and maintain calendars for all full-time faculty of the department, along with organizing departmental meetings

* Develop and manage liaison relationships between faculty, students, and external organizations, such as practicum sites and counseling associations

* Assist departmental faculty with pursuing CACREP accreditation

* Assist faculty with Supervision Assist technology

Job Qualifications

* Basic knowledge of Anthology, Canvas, Simple Syllabus, and Photoshop desired

* Understanding of the laws and regulations of the Texas State Board of Examiners for Licensed Professional Counselors

* Strong administrative and organizational skills, able to attend to details and the big picture.

* Strong verbal and written communication skills.

* Strong interpersonal skills

* Excellent time management skills with a proven ability to be punctual and meet deadlines.

* Ability to prioritize tasks and to delegate them when appropriate.

* Ability to work and make decisions independently, maintaining efficiency with many interruptions.

* Proficient with Microsoft Office Suite or related software, able to receive training and self-teach new software to competency quickly
