Key Responsibilities:This role is ideal for someone who thrives in a diverse and multifaceted environment. As the Director of First Impressions, you will:
- Answer and direct incoming calls while warmly greeting office visitors.
- Build strong relationships with clients, understanding their needs and providing excellent service.
- Process tax returns and financial statements.
- Manage incoming/outgoing mail, FedEx, UPS, and couriers.
- Oversee the file room and maintain office supplies.
- Update and manage the firm's contact database.
- Assist with newsletters and office correspondence, including engagement letters and basic tax forms (e.g., power of attorney forms, extensions, payment vouchers).
- Coordinate scheduling and the use of conference rooms.
- Maintain and organize client files (physical and digital).
- Scan physical client documents into PDFs.
- Support the office manager with IT systems, office equipment, and vendor relations.
