General Responsibilities
* Work closely with department leadership and other staff members to manage the Department's main office as the central information hub and offer essential customer service coverage. This may include, but is not limited to, assuring that the needs of visitors/faculty/staff/students are adequately addressed, that phone/email/in-person inquiries are answered, and that sufficient supplies are available to support general administrative department operations.
* Receive packages from delivery personnel and notify lab coordinator
* Take minutes at general department meetings and assist with distribution of minutes, general information, and announcements
* Schedule and p lan departmental and administrator meetings and activities including providing calendar notifications
* Notify majors, staff, and faculty of events and provide calendar notifications
* Organize alumni, community, and professional contacts
* Manage archival course content including syllabi and course evaluations
* Coordinate room reservations for shared department spaces
* Train and manage student office workers
* Coordinate logistics for department dignitary visits, accreditation site visits, and interview processes
* Actively participate in departmental meetings and activities
* Additionally, provide assistance, as needed, to department coordinator, chair, and associate chair with various administrative tasks, including, but not limited to:
o Posting content to department social media accounts and website
o Submission of course maintenance forms for course scheduling needs
o Implement recruitment & admissions events and student engagement activities
o C ollection of data for development of proposals, assessment, and accreditation processes
o Explaining fiscal processes and other policies procedures to faculty/students/staff
o Other general administrative duties, as needed, as assigned by the Chairperson
This position primarily requires in-person office work. However, some flexible work arrangements may be considered pending performance review.
Job-Specific Education and Experience
Minimum hiring standards:
* Knowledge of etiquette, protocol, and upholding courteous and inclusive practices in communications
* Excellent effective communications skills, both oral and written
* Detail-oriented
* Excellent organizational skills to prioritize work and handle multiple assignments
* Proficiency in GSuite and Microsoft Office applications
* High school graduate or equivalent
Preferred hiring standards:
* Previous experience in an administrative/office support position
* Proficiency using a number of university-specific programs including, but not limited to, Banner, RealSource, Chrome River, Collegiate Travel Planners, etc.
* Familiarity of University and College of Humanities & Sciences operations
