General Information:
Become a valuable part of the JMU Community! The Educational Foundations and Exceptionalities (EFEX) department in the College of Education at James Madison University (JMU) is accepting applications for a full-time Administrative Assistant to provide administrative support to the department. The Administrative Assistant represents James Madison University in all interactions and must exhibit high standards of professionalism and customer service.
Duties and Responsibilities:
* Serve as point of contact for the EFEX Department by responding to faculty, students, staff and other customer inquiries.
* Maintain confidentiality.
* Provide procurement services via SPCC (Small Purchase Credit Card) and eVA (a web-based state-required procurement tool). Maintain EFEX supply inventory.
* Process Contracts and ePARS (electronic personnel action requests) for adjuncts for each academic semester.
* Prepare correspondence as needed.
* Input academic schedules in Student Administration and complete updates as needed. Provide student overrides each academic semester.
* Communicate with administrators, faculty, staff, adjuncts, and students as appropriate.
* Support faculty and adjuncts with ordering desk/exam copies of books and course materials each academic semester.
* Maintain EFEX Lending Library and send emails to collect checked out items before end of each semester via email to Borrower(s).
* Reserve classrooms space for each scheduled course each semester.
* Provide clerical support to the EFEX department head and faculty by providing well-organized office system support and helping to ensure documentation and records are maintained.
* Event planning and coordinating for EFEX.
* Provide neat, professional, efficient, and competent work while paying close attention to detail.
* Maintain records and filing systems for EFEX.
* Provide support to academic advisors.
* Maintain a general understanding of the role and composition of programs within departments, departments within the colleges and colleges within the university.
* Maintain general knowledge of office equipment such as copiers and printers.
* Provide Budget Support for EFEX.
* Hire student employees in EFEX.
* Provide supervision and workflow management for student assistants and graduate assistants by monitoring day-to-day workflow and prioritizing tasks given to student workers.
* Provide additional support for other duties as assigned by the Academic Unit Head, Assistant Academic Unit Head and Dean in the College of Education.
Qualifications:
Required Qualifications
* Strong written and oral communication skills.
* Strong customer service skills with the ability to interact effectively and professionally with multiple customer bases.
* Excellent time management skills and use of effective tracking methods to complete work and tasks.
* Exceptional attention to detail, accuracy, and ability work in a fast-paced and multi-dimensional environment.
* Ability to balance, prioritize, and complete multiple tasks.
* Ability to manage the Academic Unit Head and Assistant Academic Unit Head calendar(s).
* Ability to work independently and as part of a team.
* Understanding of office management best practices.
* Proficiency in Windows operating systems and Microsoft Office Programs, especially Excel, Word, AdobePro, and AdobeSign.
Additional Considerations
* Experience with the following systems is beneficial but not required: Student Administration, EMS, eVA, Finance, Chrome River, SPCC and AiM.
* Previous related experience in a higher education setting or state agency in Virginia is beneficial but not required.
