Job SummaryThe EMS Administrative Specialist will be responsible for assisting with various administrative and operational functions in the EMS department, including but not limited to EMS patient care report auditing, billing and revenue cycle processes, data entry into various databases, payroll and scheduling, public relations events, employee training, and records management.
Key Accountabilities- Patient care report auditing
- Ensure compliance with data element definitions; ensure reports are accurate, complete, and reflective of actual care delivered to the patient.
- Send correction notices and follow-up messages to staff when reports need correction.
- Forward reports to the Clinical Services group when quality of care issues are identified.
- Regularly update the EMS Chief regarding employee compliance with documentation standards as they relate to billing and statistical data elements.
- EMS billing workflow
- Register the EMS patient for a hospital account.
- Enter charge codes, modifiers, mileage codes, and ICD-10 codes as appropriate for the care provided.
- Key charges into the hospital's electronic medical record.
- Scan EMS documents into the hospital's electronic medical record.
- Assist the patient advocate with complaints and/or grievances related to value of care.
- Administrative assistant
- Reconcile monthly fuel and vehicle maintenance reports and audit data accordingly.
- Perform data entry for supply chain, inventory, fleet management, and narcotics reconciliation.
- Assist with the shift bid, ad hoc scheduling, monthly EMS scheduling, clinical preceptorship scheduling, and payroll (Kronos).
- Schedule staff and assets for public relations events.
- Assist with career fairs, outreach, and community engagement events.
- Maintain uniform records and ordering.
- Assist with new employee onboarding, training, and scheduling.
- Update paper versions of policies, procedures, and instructions manuals.
- Track certification and licensure records for EMS and EMS Education.
- Print records for various committees and workshops.
- Operations assistant
- Shuttle vehicles, including ambulances, for repairs and maintenance.
- Transport supplies and equipment between facilities and crews in the field, to include retrieving left-behind equipment.
- Maintain training equipment, supplies, and other items as directed by supervisors.

- Supports and provides quality public relations events and interactions.
- Responds to requests and work assignments in a timely manner.
- Actively seeks out and completes tasks, assignments, and projects that enhance the value of the department and organization.
- Enthusiastically volunteers and participates as requested in work groups and committees.
- Seeks ways to improve relationships with coworkers and peers.
- Assists with training new employees.
- Actively engages in the quality assurance and process improvement programs.
- Other duties as assigned.

Required Qualifications- Current or prior EMT or paramedic.
- Good working knowledge of Office 365.
- Excellent driving record.
- Excellent attention to detail.
- Problem-solving skills.
- Good communication skills.
- Certified Ambulance Coding Specialist (CACS) [must acquire within 12 months of hire]
Preferred Qualifications - Experience with ImageTrend Elite as an end-user or higher
- Five years' experience as an EMS provider
- Knowledge of EMS billing and coding
- Experience in process improvement and/or quality assurance
