Job Summary:
Position Overview: The Muhlenberg College Department of English invites applications for a part-time administrative assistant position. This person will carry out administrative responsibilities, receiving instructions from the Department Chair and in collaboration with all department members.

The work schedule is 25 hours per week, 5 hours per day during the academic year (2 weeks before and after the semester, 43 weeks total, with 9 weeks off in the summer). The position is budgeted for a total of 1,075 hours annually. Characteristic Duties & Responsibilities:
* Oversee the day-to-day operations of the office, including calendar of events, activities and meetings; opening, distributing, and prioritizing mail; answering, screening, and directing calls and inquiries; and welcoming and helping in-person visitors in a professional manner.
* Assist faculty with administrative tasks, including processing desk copy requests, completing expense reports, and spend authorizations in Workday, as requested.
* Maintain budget and complete monthly reconciliations of department credit cards.
* Maintain a digital filing system.
* Assist with sending assessment surveys to students and compiling results for faculty review.
* Organize transportation logistics for student trips and faculty searches.
* Coordinate preparation (e.g., room reservations and catering) for special events, guest lecturers, awards ceremonies and induction ceremonies.
* Assist Creative Writing director with event planning for the Living Writers Series.
* Organize student submissions for Creative Writing & Journalism and other Awards.
* Communicate departmental events to students through the designated department email.
* Submit requests (e.g., to Plant Operations, Media Services, and Information Technology) for repairs or attention to departmental facilities.
* Order and manage office supplies, including office equipment, printers/copiers.
* Update departmental website and maintain social media presence.
* Supervise student workers and digital media intern by overseeing their recruitment, selection, training, development, and ongoing evaluation.
* Other duties as assigned.
While no one person may possess all the qualifications listed below, the ideal candidate will have many of the following professional experiences and characteristics:
Qualifications:
* High school diploma or equivalent required.
* Experience providing administrative support in a higher education or other professional setting.
* Strong organizational, planning, and time management skills.
* Ability to function independently, demonstrate initiative, and balance priorities in a busy department serving students, faculty, and other campus constituents.
* Demonstrated commitment to diversity, inclusion, equity and belonging.
* Excellent interpersonal and communication skills.
* Ability to effectively interact with diverse groups, including students, faculty and staff.
* Exercise sound judgment, flexibility and adaptability.
* Accuracy, reliability and confidentiality in performance of duties in an environment of frequent interruptions.
* Strong knowledge of Google Workspace, 25Live and MS Office applications, including excellent typing, word processing, mail merge, spreadsheet, and internet navigation skills.
