General Summary: Under the direction of the Registrar and the Admissions Officer, the Administrative Assistant will perform proficient administrative duties and possess basic knowledge of business and educational terminology. Administrative Assistant will further possess knowledge of departmental operations and regulations and provide secretarial assistance, including scheduling appointments, correspondence, and filing. Responsible for exercising professional judgment and initiative in carrying out principal duties and responsibilities. Must be comfortable in multicultural and Native American settings.
Principal Duties and Responsibilities:
The provisions of the following Administrative Assistant duties include, but are not limited to:
* Answer telephones, screen callers, relay messages, greet visitors, provide information.
* Maintain confidentiality and follow privacy (FERPA) guidelines.
* Check, sort, distribute mail, and order departmental office supplies.
* Assist with calendar and scheduling appointments.
* Operate office equipment such as photocopier, scanner, fax machine and laminator.
* Provide exemplary customer service, organizational skills and computer proficiency.
* Basic knowledge of email, electronic calendar, and other basic support software.
* File and locate material in electronic and/or paper files.
* Office support services: assist with data entry, and internal and external communications.
* May be required to serve as backup for the Enrollment Clerk in their absence.
* Create flyers, pamphlets, and information booklets.
* Assist potential students with the admissions process.
* Pick up and deliver materials as required.
* Ability to learn and operate student information system and multiple software platforms.
* Administer placement testing.
* Assist Enrollment personnel with daily operations.
* Any and all other duties as assigned.
Qualifications
Job Specifications :
* Minimum Requirements - High school diploma or GED. Excellent knowledge of Microsoft Excel, Publisher, Word, and PowerPoint software.
* Preferred Requirements - Exemplary oral communication, interpersonal and organizational skills. Knowledge and proficiency in using Microsoft Excel, Word, and PowerPoint software. Knowledge of student records software.
* Special Considerations - The ability to speak the Muscogee (Creek) language is preferable but not a requirement. Native American and Veteran preference.
Licensure (if appropriate): Valid Drivers License.
