Job Description: Amherst College invites applications for the Administrative Assistant for Artificial Intelligence in the Liberal Arts position. The Administrative Assistant for AI in the Liberal Arts is a part-time (25-hour per week), academic year position starting at $22.00 per hour (AO-3). Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate must demonstrate their commitment to the core competencies that support this broadly diverse community. The Administrative Assistant will assist the Professor of Computer Science in the development and implementation of the Artificial Intelligence in the Liberal Arts (AILA) initiative at Amherst College. This position will manage the AILA budget; administer hiring and payroll for a diverse group of 10-12 AILA student assistants; help plan and manage AILA student assistants project work; arrange and facilitate weekly AILA fellow meetings; plan and coordinate AILA events; manage AILA publicity; contribute to programmatic growth and future planning of AILA; collaborate with offices across campus to contribute to campus programming on AI and the implementation of AILA-specific program elements; collect and maintain records for AILA impact metrics; prepare AILA annual report. Summary of Responsibilities: Administrative Duties
- Manage AILA budget; including handling reimbursements and honoraria, processing and reconciling receipts, monitoring spending, and projecting costs of planned activities
- Recruit and administer hiring and payroll for a diverse set of ALIA Student Assistants by collecting hours and submitting them to payroll in a timely manner
- Manage AILA fellows by delegating programmatic duties, monitoring progress, and facilitating communications and collaborations among fellows
- Arrange and facilitate weekly in-person meetings with AILA Student Assistants - secure meeting space, prepare agendas, lead the meeting and discussions, take and post minutes
- Manage AILA publicity, including production of a bi-weekly newsletter for distribution to an email list, production of posters and announcements for events, advertising of the AILA website, and handling of press inquiries related to AILA activities
Program Planning, Cross-campus Collaboration & Development
- Ideate, plan, and coordinate AILA events, which may include guest lectures, panel discussions, technology demonstrations, art exhibitions, live music or dance performances, an undergraduate conference, and a student Hackathon
- Collaborate with offices across campus to contribute to the Amherst AI Team and their complimentary programming on AI. Implement AILA-specific program elements as needed
- Collect and maintain records for AILA impact metrics, including numbers of attendees, engagement, and views on the AILA website and YouTube, mentions of AILA in news stories, and other impact metrics to be developed
- Prepare AILA semester summary and annual reports
Qualifications: Required
- Bachelor's Degree and/or equivalent years of relevant experience
- Strong written and verbal, interpersonal, organizational, and time management skills
- Word processing and spreadsheet skills

Preferred
- Knowledge and experience of interdisciplinary approaches and AI
- Experience with Workday, Slack, WordPress, Social Media, and Video editing software are highly preferred
