Mackin is seeking a qualified Administrative Assistant for our Classroom Services department! Responsibilities:

  • Handle custom product fulfillment to include creation of book, bin, and shipping labels, as well as creating custom documents for various needs (for internal or customer use)
  • Run reports from internal software/programs, customize and format results depending on need
  • Distribute incoming department emails to the correct team members and respond to internal communications via phone and email, in a timely manner
  • Perform data entry and research/analysis utilizing spreadsheets
  • Use internal software and programs to input, organize, maintain, and/or gather information about customer orders or book data
  • Take direction from other team members, and follow through with varying tasks
  • Organize and maintain inventory of product samples (books and curriculum materials)
  • Communicate promptly and clearly with internal teams, acting as a liaison between Classroom Services and the warehouse
  • Create and format documents for internal or external use, such as presentations, flyers, printables, and training documents (as directed by team members)
  • Monitor order statuses and meet project needs at specific stages of its fulfillment
  • Offer help and anticipate department and/or individual team member's needs, initiating ideas and solutions to problems
  • Thoroughly research and derive answers from documents and system notes to guide processes
  • Attend internal team meetings and publisher presentations
  • Perform any other general administrative duties as assigned
Requirements Service mindset-willingness to collaborate and show initiative
  • Operate office printers and copiers, able to troubleshoot the tools and technology of an administrative position
  • Highly organized and detail-oriented
  • Ability to lift up to 40 lbs. and willingness to do some physical labor (shelving and labeling books, moving boxes, lifting bins, pushing book carts, etc.)
  • Excellent interpersonal communication skills, verbal and written
  • Advanced knowledge of Microsoft Excel and Word (or equivalent programs)
Preferred Qualifications, Education, & Experience:
  • Creative and energetic qualities
  • Strong interest or experience in PK-12 education and/or books/literature
  • College degree and/or 2+ years' experience in office settings
  • Experience creating, formatting, and polishing a variety of documents
  • Previous work experience in education, classrooms, libraries, or the book industry helpful
  • Training and/or advanced experience in Microsoft Suite or comparable program (specifically Excel and Word), webmail/Outlook, Adobe PDF, and/or Monday.com project management
Hours:
  • Full-time day shift hours, Monday through Friday
  • Work onsite at our Burnsville, MN office with potential for some remote work
Wages:
  • Negotiable, depending on education and experience
