Ministerial Character

The Pastor is the visible principle and foundation of unity in the parish (St. Louis King of France Catholic Church and School Austin, Texas) which the Bishop has entrusted to him. He makes Christ's mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clergy and lay people). He shares with them his mission and entrusts various responsibilities to them.

Positions employed at St. Louis King of France Catholic Church and School Austin, Texas help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.

Job Summary

The Administrative Assistant for Mission serves the ministerial and liturgical teams under the direction of the Executive Director of Mission. This includes assisting with internal and external communication, Sacrament coordination and records.

KEY RESPONSIBILITY AREAS (KRA)

Essential Job Duties

  • Calendar & Meeting Management: Schedule meetings, confirm appointments, prepare agendas, take minutes, and track tasks.
  • Communication & Correspondence: Handle phone calls, emails, and other correspondence, ensuring effective communication.
  • Project Support: Assist with project coordination, follow up on tasks, and liaise with teams.
  • Front Desk Assistance: Serve as backup to the front desk and cover breaks daily (1.5 hours).
  • Sacrament Coordination & Records: Manage inquiries, prepare certificates, maintain Sacrament and death records, notify Church of Baptism, and ensure no scheduling conflicts in sanctuaries.
  • Marriage & Coordination: Manage inquiries, appointments, and schedules for weddings, PREPARE/ENRICH, and other ceremonies. Collect fees, coordinate with couples and vendors, and maintain records.
  • Support to Clergy: Assist deacons with marriage and annulment counseling appointments and collaborate on diocesan tribunal cases.
  • Coordinate paperwork, scheduling, and payments for Quinceaeras and Presentacin de Tres Aos.
  • Other Duties: Provide occasional Spanish language support and assist with additional administrative tasks as needed.

Skills, Knowledge and Abilities (SKA)

  • Bilingual (English/Spanish) required.
  • Strong verbal and written communication skills.
  • Proficient in word-processing, spreadsheets, and database programs.
  • Excellent organizational, time-management, and interpersonal skills.
  • Ability to collaborate with staff, clergy, and parishioners.
  • Commitment to high professional and ethical standards.

Education, training and/or experience

  • High school diploma required.
  • Bachelor's degree preferred.
  • 5 years of professional administrative experience required.
  • Experience in a pastoral setting, with emphasis on being attentive and understanding, strongly preferred.

Catholic Requirement:

  • Must be a practicing Catholic in good standing.

Licenses/Certifications:

  • Valid Texas driver's license.
  • Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.

Compensation details: 45000-50000 Yearly Salary
