JOB DESCRIPTION AND POSITION REQUIREMENTS:The Pennsylvania State University is seeking an Administrative Assistant - Senior Support for the Associate Dean of Access, Equity, and Inclusion. This position reports directly to the Associate Dean and is responsible for managing and coordinating daily operations, while providing high-level administrative and financial support. Due to the sensitive nature of some issues handled in the Dean's suite, confidentiality is essential. The ideal candidate will have familiarity with executive academic office settings and the Penn State University system. The ideal candidate will be capable of simultaneously handling multiple tasks, working with direction from the Associate Dean and in collaboration with a team of administrative assistants. This position is vital to the College of Education's Anti- Racist mission by supporting the Associate Dean's office in its development of equity-centered programming and activities for faculty, staff, and students. The successful candidate will join a unit which manages the coordination of the equity activities in:
Associate Dean ResponsibilitiesDiversity and Community Enhancement Committee (DCEC), Equity Team;Equity Coalition, Holmes Scholars, Bunton Waller Graduate Scholars, Equity Fellows, faculty retreats, college-based meetings hosted by the Assoc Dean, and other support to students and faculty.
Office of Education and Social Equity (OESE): Summer College Opportunity Program in Education (SCOPE), student events/programming, recruitment activities, and community partnerships. Other university and college programming as assigned.
Key responsibilities of the position include:•Manage the calendars and task lists of the Associate Dean and director. (OESE reports to this Associate Dean)•Oversee the activities of the office; establish and assign priorities; ensuring schedules are maintained and deadlines are met; developing processes and procedures for the office and affiliated units•Manage conference travel and budget for Associate Dean and OESE staff•Review and approve financial transactions within established guidelines •Assist the preparation of short and long-range budget plans•Coordinate committee meetings and ensure all associated materials are prepared and distributed in a timely manner, and handle all related communications promptly•Coordinate events, special projects, and programs such as seminars, student events, workshops, and banquets; gather related receipts and prepare expense reconciliation documents•Analyze information for special projects and reports, drafting handbooks, newsletters, and other materials•Provide support in ensuring adherence to College and University policies and procedures•Handle student and faculty matters with confidentiality•Foster and maintain an inclusive environment•Support OESE staff with work study assignments•Work collaboratively with administrative assistants in the dean's suiteThis position requires an Associate's degree plus four years of related experience, or an equivalent combination of education and experience. The ideal candidate will possess strong oral and written communication skills, organizational skills, and project management experience. They should demonstrate reliability and the have ability to collaborate effectively with colleagues and stakeholders at all levels. The successful candidate must be self-driven, capable of making sound decisions able to manage office operations and coordinate multiple concurrent projects and special assignments with minimal supervision. Expected competencies include the identification and management of critical work-related problems and processes, evaluation, and solution implementation. Excellent interpersonal skills across hierarchies with the aptitude to communicate with tact and understanding and practice discretion and confidentiality to address sensitive information, situations, and problems.This position requires the following clearances: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, Federal (FBI) Fingerprint Criminal Background Check, and Motor Vehicle Background check.The position is expected to achieve proficiency in Penn State systems such as SIMBA, Workday, Worklion, Lionpath, TEAMS, Google Docs, Microsoft Office products, undergraduate and graduate student contracts, and Outlook calendaring. Should acquire and demonstrate knowledge of university policies, procedures, and systems related to student and academic affairs. The candidate must have the temperament to manage high-volume scheduling and programming at some periods during the semester.
