Description The Glaucoma Research Center is seeking an Administrative Assistant to join their team. This individual will be responsible for providing administrative and clerical support to the Vice Chair of Reserach and Director of Research Training and Education. Essential Duties and Responsibilities:
  • Manages calendar and meetings for Dr. Schuman and Dr. Wollstein.
  • Coordinates meetings, travel, and all scheduled events for supervising physicians, including all reservations, visa requirements, etc.
  • Answers phones, retrieve messages, and communicates with physicians. Responds to calls and e-mails as directed.
  • Works with research center director to plan, facilitate, and coordinate reimbursement of non-research center employees involved in studies.
  • Assists with potential studies for potential involvement of Wills GRC, including budget and subject requirements.
  • Types, files, copies, faxes, answers phones, and maintains daily schedule of Research Center. Organizes departmental correspondences, assists with data entry, computes time cards and distributes pay checks.
  • Responsible for maintaining all physician CV's and updating, as needed.
  • Manages and submits expenses for physicians, as required, providing all supporting documentation, and keeping files for all submissions.
  • Organizing events such as interviews, meetings, and other associated with research department and academic meetings.
  • Provides administrative support for the recruitment of research fellows. Tasks include: responding to inquiries, receiving and processing applications, working with Jefferson University Office of International Affairs, setting up phone interviews for applicants as directed.
  • Coordinates all activities, including education and research programs (i.e. meetings and conferences) within and outside the center. Act as liaison with lead personnel in these programs.
  • Follows up on abstracts/poster presentations after national meetings until all materials are obtained, filed, and logged.
  • Assembles and maintains all articles and posters presented and published by the Wills Eye Institute Glaucoma faculty and fellows.
Position Requirements Education:
  • Bachelor's Degree required. Science-related degree is preferred.
Experience:
  • 1-2 years of relevant experience or equivalent combination of education and experience required.
  • Excellent interpersonal and professional skills.
  • Demonstrated ability to interact and communicate with medical staff, employees, and Professionals.
  • Strong proficiency in MS Office Suite, including Word and Excel, and Outlook.
  • Outstanding attention to detail required.
  • Ophthalmic or research experience preferred.
