TITLE: Administrative Assistant - Human Resources
QUALIFICATIONS:
1. High school diploma.
2.Two years of post-secondary training and five years job experience as a secretary; or graduation from a recognized school of secretarial skills and two years job experience; or five years successful employment as a school secretary within this district or in another district of comparable size.
3.Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO: Assistant Superintendent for Personnel, Policy and Student Services
SUPERVISES: N/A
JOB GOAL: To assist and relieve the Assistant Superintendent for Personnel, Policy and Student Services of paperwork and impedimenta so that he may devote maximum attention to the central problems of education and educational administration.
PERFORMANCE RESPONSIBILITIES:
* Transcribes dictation of various types, including correspondence, reports, notices, and recommendations. Understands and conforms to all rules of punctuation, grammar, diction, and style. Demonstrates functional knowledge of computers and all aspects of the Microsoft Office Professional software programs.
2. Ability to communicate clearly and concisely, both orally and in writing; ability to communicate well with school personnel, parents, and central office staff.
3. Ability to work independently, meet deadlines and accomplish specific tasks as requested.
4. Ability to compile and summarize information.
5. Extensive knowledge of office practices and procedures.
6. Ability to learn, interpret and explain policies, regulations, and procedures. Works with the
Assistant Superintendent in scheduling the policy work group meetings; attends the
policy work group meetings, takes notes, transcribes, and keeps them for future
reference. Maintains policy updates on the website.
7. Assists principals/directors/supervisors in the hiring process for new employees. Assists
with New Teacher induction, New Employee Orientation and New Employee In-Processing.
8. Exercises confidentiality concerning personnel matters.
9. Schedules Hepatitis B vaccinations, flu shots, etc. as available.
10. Maintains a regular filing system, as well as confidential files.
11. Performs bookkeeping tasks associated with a specific task. Assesses needs, orders,
and maintains supplies, materials, and equipment.
12. Maintains a schedule of appointments and plans for conferences and interviews. Makes
travel arrangements for Assistant Superintendent and schedules and maintains Assistant
Superintendent's calendar.
13. Works with Principals, Assistant Principals, and certified staff with the evaluation system.
14. Works with employees regarding Family Medical Leave.
15. Maintains the Human Resources website.
16. Works with East Carolina University and other universities in the placement of interns
studying education in our school system. Works with teachers in processing Senior II
interns as substitutes.
17. Responsible for obtaining background checks for all employees (including part-time and
substitutes) and reviewing the daily monitoring of all individuals associated with the
school system (volunteers).
18. Schedules substitute orientation meetings, processes paperwork for payroll and updates
the substitute spreadsheet, which is sent to the principals and secretaries.
19. Other such duties as assigned by the Assistant Superintendent or designee.
PHYSICAL REQUIREMENTS: Must be physically able to sit, stand, walk, and drive a car. Must be able to lift mail and boxes up to 10 lbs. Must be able to sit at a computer for extended periods of time. Physical demand requirements are for Light Work. Operate a motor vehicle.
TERMS OF EMPLOYMENT: Twelve month year. State salary scale is used to determine pay.
EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board's policy for Support Personnel.
