GENERAL STATEMENT OF JOBThe Administrative Assistant for Human Resources plays a crucial role in supporting the HR department and addressing the human resources needs of the school district. The role also involves maintaining employee records and providing exceptional support to both staff and administrators in alignment with the district's needs and guidelines. The ideal candidate will be highly organized, detail-oriented, and possess strong communication and interpersonal skills, with a keen ability to maintain confidentiality and deliver outstanding customer service. This position reports directly to the Chief Human Resources Officer.ESSENTIAL Job Functions:
- Support various human resource functions including compensation, benefits, leave management, performance and talent management, productivity, and employee recognition.
- Answer department phone lines, screen calls, and route them to the appropriate department or individual after assessing the nature of the inquiry.
- Greet and assist visitors and the public, answering routine questions or directing them to the appropriate personnel.
- Work with the Chief Human Resources Officer to manage the human resources budget and ensure timely payment of invoices and bills.
- Prepare budget requisitions and process spreadsheets for bonus payments to newly hired teachers and staff, forwarding them to payroll for processing.
- Coordinate departmental events such as conferences, job fairs, and travel arrangements.
- Assist in pre-employment activities, including scheduling fingerprinting/background checks and providing employment testing agency information.
- Process and file fingerprint and Child Protective Services records as part of the onboarding process.
- Maintain clear and effective communication across all levels of the organization to support smooth departmental operations and ensure timely information sharing.
- Monitor and document compliance with mandatory and optional training, continuing education, and work assessments, including safety training.
- Assist employees with inquiries and issues related to employment status, including ADA, FMLA, and Workers' Compensation matters.
- Support the implementation and maintenance of personnel policies and procedures, including the Employee Code of Professionalism (excluding policies for the Superintendent).
- Prepare and compile reports on a daily, weekly, monthly, and annual basis; maintain departmental standard operating procedures and other relevant documentation.
- Collaborate with the Coordinator of Recruitment and RetentionA to develop and manage the recruitment plan and calendar.
- Respond to HR inquiries from applicants, employees, supervisors, and departments, providing professional and friendly customer service or directing them to the appropriate resource.
- Prepare documents and materials as needed for school board meetings.
- Coordinate and maintain departmental rosters, including setting up new employee files.
- Attend and participate in employee disciplinary meetings, terminations, and investigations as necessary.
- Perform other duties as assigned.

- Proficient in the use of computers and business productivity software, including Word, Excel, email programs, and other office applications utilized in the department.
- Ability to apply judgment and discretion when processing applications and conducting procedures in accordance with departmental operating standards.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Ability to work independently with minimal supervision.
EDUCATION AND EXPERIENCE Graduation from high school or possession of a high school equivalency diploma, with six (6) years of experience in a staff or administrative support role, preferably in a fast-paced environment and customer service setting within an office. At least two (2) years of experience must be in a public school district or educational environment. Bachelor's degree preferred.
