Job Description:

The primary purpose of this position is to perform administrative tasks for the Deputy Health Director at the Cumberland County Department of Public Health. This position works with the Deputy Health Director to ensure quality services and goal attainment for the agency.

Duties for this position include, but are not limited to:

* Assist the programs with reports and maintain records as needed for the various programs supervised by the Deputy Health Director (DHD).

* Develop and maintain cooperative and courteous relationships within the agency and with external entities which position interacts.

* Ensure the Deputy Health Director is current and up to date on information for conducting business and meetings.

* Assists Deputy Health Director in submitting and managing PIO Work Order requests for news releases, publication designs, etc.

* Composes letters, emails, memos, and other written documents.

* Works collaboratively with other Administrative Assistants assigned to the Senior Leadership Team to accomplish special tasks assigned to the Senior Leadership Team.

* Coordinates new employee orientation on a bi-weekly basis as new staff are being onboarded.

* Schedules and maintains nursing students' clinical rotation placements at the Health Department. Creates and maintains log of internship/volunteers requesting and participating in the internship program.

* Assists Administrative Officer III in compiling policy documents.

* Serve as backup in administratively supporting the Health Director in partnership with the Director of Nursing and Medical Director's Administrative Assistant.

* Assists Accountant, upon request, with scanning and filing of documents in relation to budget submission.

* Coordinates & serves as primary host of Hello Health, monthly health literacy series televised and recorded for public view.

Employee is subject to be called upon anytime to help the agency respond to a public health emergency which may include, but is not limited to, outbreak investigations, staffing mass dispensing or immunization clinics, providing disaster relief, or other incidents (man-made or natural and intentional or non-intentional) as they arise, or any public health response requested by the Health Director.

Completion of high school or equivalent and four years of progressively responsible secretarial or clerical/administrative/office management experience; or completion of a two-year secretarial science or business administration program and two years of progressively responsible secretarial or clerical/administrative, office management experience; or completion of a four-year program in a college or university preferably with major emphasis on coursework in business administration, public administration, or other related field; or an equivalent combination of training and experience.

* General knowledge of office management techniques.

* Ability to practice effective communication techniques both orally and in writing.

* Ability to analyze and interpret policy and procedural guidelines and to resolve problems and questions.

* Skill in organizing work flow and coordinating activities.

Must have or obtain and maintain a valid North Carolina driver's license with an acceptable driving record. Background check and negative drug test are required.
