Your Specific Responsibilities:
Deputy Registrar for Columbia County Health Department and abides by state laws relating to the issuance of vital records in the county; Attend scheduled state office training sessions and conference calls as needed; Preparation of vital records' certifications in response to public requests and collect appropriate fees; Print, review and maintain required safety paper usage report for a daily accounting of all safety paper utilized in issuance of certifications; Review of records for completeness and accuracy before issuance; notification to CDR of facility name changes, new hospitals and new birthing centers; coordinates with the CDR the order of all safety paper for certified copies of issuance of births, deaths and fetal deaths; maintaining a log of all safety paper and voided safety paper logs. Determine if applicant is authorized to obtain vital record prior to printing.
Receive orders in the MFMP system, ensuring orders are transferred to the proper department and packing slips/invoices are transferred to the accountants for processing; Answer phones, assist the public with questions and direct to appropriate departments; Provides support to supervisory staff reports/projects/duties as needed.
Reviews daily deposits and transfers funds from local bank to the State bank; does quarterly/yearly audits of cash drawers and pharmacy; pulls warrants from the warrant folder and matches them to the invoices then moves to the vendor files; reviews state lab invoice for the proper program codes per visit; Mail backup.
Perform other related duties as requested by supervisor, which includes but not limited to weekly EAR submission and certification, timesheet submission, attend staff meeting and other trainings, complete mandatory trainings in TRAIN.
Responsible for securing the designated information set for the purposes of protecting confidentiality, data, integrity, and appropriate access, for all information, both confidential and public record which is stored in hard copy or electronic formats
Required Knowledge, Skills, and Abilities: One year of experience with clerical duties in a professional office setting. One year of experience working with Microsoft Suite (Word, Excel, Outlook, and TEAMS). Knowledge of how to maintain and balance cash drawer.
