Healing made personal.Roles & Responsibilities: The Addiction Institute of Mount Sinai (AIMS) is seeking a motivated Administrative Assistant who can work independently. This position provides a wide variety of administrative support services for the Clinical Trials division as well as other support such as regulatory, budget and grant preparation. Additionally, the position provides assistance in regulatory control associated with clinical studies.Responsibilities
  • Investigates, evaluates and resolves typical administrative or operational problems or situations affecting the division.
  • Maintains division employee files. Initiates and follows through on human resources.
  • Serves as a liaison with other departments or external parties to as necessary to accomplish objectives and or complete projects or assignments.
  • Screens and prioritizes incoming mail for needed action and follow up. Responds to mail where appropriate
  • Screens telephone calls, answers routine inquiries or refers caller to the appropriate individual for response.
  • Inputs information into database.
  • Provide support for research studies: InfoEd, eraCommons, GCO, IACUC, budgets...etc. for grant applications, progress reports and final reports.
  • Prepares and monitors budgets and grant allocations. Prepares documents required to maintain balanced accounts for review and approval.
  • Assist with preparations for regulatory inspections and monitoring visits from DEA, FDA, and internal compliance audits for research studies. Ensures compliance with regulatory standards.
  • Maintains source documents and subject files in accordance with hospital/school procedures.
  • Helps to prepare for monitoring visits.
  • Assists in the planning and logistical arrangements for forums, conferences, seminars, and meetings. Transcribes and distributes minutes
  • Make travel arrangements and accommodations for supervisor and team members. Prepares travel reimbursements and expense reports.
  • Performs other related duties and minor secretarial tasks.
Qualifications
  • Associates Degree in Secretarial Science or related field, or HS/GED plus two years of related experience (Bachelors Degree preferred).
  • 2-3 years administrative or medical office experience required
