Salary : $33,280.00 Annually Location : Macon, GA Job Type: Full Time Job Number: 202400066 Department: Fire/Administration Division: Administration Opening Date: 09/23/2024 Closing Date: Continuous Summary The Administrative Assistant I is responsible for providing administrative support and biweekly processing of payroll earnings and deductions and other tasks related to the payroll system within the Fire Department and Macon-Bibb County procedures and guidelines. Essential Duties and ResponsibilitiesThe following duties are representative of the work required for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
  • Assists in all forms of clerical and receptionist duties.
  • Sets up and reviews bi-weekly time and attendance process using computerized payroll system and assist with the processing of ACH payments.
  • Reviews temporary payroll adjustment forms for validity and accuracy.
  • Checks time entry for accuracy in NSW ERP.
  • Coordinates training curriculums and provides information to all employees to assist with interpretation with the Fire payroll system.
  • Assists departments with payroll questions and advises department on proper means of completing time entry into the payroll system.
  • Reviews vacation and sick leave accrual records for accuracy.
  • Conducts periodic accrual audits to ensure integrity of records and to correct errors.
  • Assists with preparing the annual Department budget.
  • Researches and interprets laws associated with benefits, taxes, and other pertinent regulations.
  • Maintains Department files, office equipment, and inventory of supplies.
  • Maintains and processes personnel files and records.
  • Composes letters, proposals, reports, notices, proclamations and inter-office memorandums.
  • Assists in special event planning.
  • Answers high volume telephones.
  • Provide Fire Reports and Open records request
  • Issues Burn Permit.
  • Maintains logs and record management for inspection request and reports
  • Performs other duties as assigned.
Education, Training and Experience The Administrative Assistant I should possess, at a minimum, a high school diploma or equivalent and at least three (3) years of experience in administrative support; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position. Knowledge, Skills, and AbilitiesThe Administrative Assistant I must be knowledgeable of the following principles, procedures, and concepts:
  • Knowledge of the principles and practices of local government administration.
  • Knowledge of budgetary preparation procedures and administration.
  • Knowledge and proficiency of personal computers and word processing and database programs, including the Microsoft Office Suite, the Windows NT network, and internet and e-mail services.
  • Ability to write clear and concise reports, memoranda, directives and letters.
  • Ability to develop comprehensive plans from general instructions.
  • Ability to accomplish assigned administrative tasks with a minimum of supervision and with only general direction.
  • Ability to meet the public and to discuss problems and complaints tactfully, courteously, and effectively.
  • Ability to use discretion and to maintain appropriate confidentiality and security of private or confidential information.
  • Ability to maintain effective working relationships with other employees, elected officials, private organizations, and the general public.
