The purpose of this position is to provide office administrative support for the Counseling Services (CS) department and to assist with departmental events and programs.

Essential Job Duties

* Provide friendly, helpful, and professional customer service by assisting clients and visitors, answering and directing phone calls, and taking messages.

* Schedule appointments and meetings for CS clinical staff and clinical interns.

* Perform administrative tasks to ensure efficient office operations. Those tasks include but are not limited to, tracking expenditures, preparing paperwork, sending client reminders, assisting with the assessment of CS services, and ordering office supplies.

* Assist in the operation of the Falcon Food Pantry. Duties include, but are not limited to, sorting and shelving donations, distributing food/toiletries, and helping with fundraisers and donation drives.

* Oversee the creation and distribution of the Student Affairs Emergency Duty Calendar.

* Coordinate hiring, training, scheduling, and supervising student workers.

* Work with CS staff members to plan and implement prevention and outreach initiatives to address mental health and developmental issues and promote available resources.

* Follow CS procedures in order to maintain confidentiality.

* Assist CS director with administrative tasks as assigned.

* Assume other duties as the Counseling Services Director may assign.

Ability to learn and effectively use software platforms used by the department (Titanium, Banner, Office 365);

Maintain behavior consistent with being a role model to the UM community;

Dress appropriately for a professional setting;

Ability to work as a contributing member of the CS team.

The educational requirement for this position is: High School diploma/GED

Education substituted for experience? Yes

This position requires 1 year of related experience. Experience as an administrative assistant or receptionist in a medical or mental health practice is strongly preferred.
