( Dovenmuehle ) is the leading mortgage subservicing firm in the United States with several hundred financial institution clients nationwide.General Description:Provides administrative support to the organization and assigned department(s)Essential Duties and Responsibilities:
- Performs all aspects of administrative functions within assigned department.
- Maintain confidential employee information on behalf of the management.
- Support all word processing, faxing, and copying functions on behalf of the management.
- Process spreadsheets and reports on behalf of the management.
- Answer telephone calls on behalf of the management.
- Act as a liaison between staff level associates and the management with respect to scheduling meetings, etc.
- Coordinate all employee staff meetings on behalf of the management.
- Maintain supplies for the entire department.
- Present a positive and professional demeanor.
- Facilitate and track UPS overnight delivery services for the department.
- Assist with the vendor relations process.
- Support assistant managers and supervisors within the department with administrative functions.
- Successfully complete annual regulatory compliance training.
- Performs all other responsibilities and duties deemed necessary.
Required Qualifications:
- High school diploma or equivalent.
- 1+ years providing administrative support in a fast-paced environment.
- Strong PC skills, including Microsoft applications.
- Effective verbal and written communication skills with demonstrated ability to always interact in a positive and professional manner with all levels of both internal and external audiences.
- Ability to handle confidential information with discretion and professionalism.
- Ability to effectively multi-task and prioritize duties in support of multiple simultaneous projects.
Preferred/Other Qualifications:
- Administrative experience in mortgage servicing, banking, or legal environment.
Physical Demands and Work Environment:The employee must be comfortable in either an on-site office setting, or a quiet, designated work from home space that is free from distractions and noise. The employee is regularly required to communicate (give/receive) information through multiple methods of communication with clear understanding from others. Must be able to exchange accurate information in these situations. The employee must be able to remain in a stationary position and or move about the organization or remote office. The employee is frequently required to stand or walk (or otherwise move through the organization); sit; use hands to type, write, handle, or feel and reach.
