Starting Salary - $1,462.60 Bi-Weekly (In accordance with current spending restriction, an internal promotion in the position will be filled at the minimum of the pay grade, up to 5% of the employee's current rate, or increased based upon current pay grade, whichever is higher.)

DESCRIPTION

The successful candidate will be responsible for providing administrative support to the Circuit and assisting regional office staff members with personnel, purchasing, fiscal and general services duties as necessary.

This position requires initiative, strong organizational skills, careful attention to detail and the ability to creatively adjust to a variety of changing workflow demands.

This position provides high-level administrative support by utilizing automated systems for purchasing, personnel Circuit staff in performing purchasing, personnel, general service requests and procedures.

Responsibilities of this position include: preparing, composing and tracking all correspondence; researching and assembling data, assisting Circuit staff with questions regarding established policies and procedures to ensure compliance and consistency; processing invoices, requisitions, purchasing card charges and other administrative paperwork; organizing, maintaining and updating hard copy and electronic files of all project related activities and personnel records; routine administrative support including receiving and properly routing incoming mail, handling outgoing correspondence, maintaining office supplies, and photocopying; maintains calendars and making meeting or travel arrangements.

Incumbent also coordinates the procurement of commodities and services in Ariba On Demand (AOD) (Formerly My Florida Market Place (MFMP)); reviewing purchases for compliance with Florida Statutes, and DJJ rules and policies; ensuring invoices are submitted with the proper documentation; and assisting with employees' travel expenditures.

MINIMUM QUALIFICATION

A High School Diploma or its equivalent.

Knowledge of reading comprehension.

Knowledge of how to research information.

Knowledge to obtain and use the appropriate equipment.

Knowledge of administrative and clerical procedures and systems

Knowledge of MyFloridaMarketPlace (MFMP)

Knowledge of State Accounting Management system (SAMAS)

Knowledge of Human Resource rules and regulations

Knowledge of principles and processes in business

Knowledge of computer software, including applications.

Ability to communicate effectively verbally and in writing.

Ability to handle confidential information.

PREFERRED QUALIFICATIONS

Preference will be given to candidates who:

Have at least 2 years of Administrative, Secretarial or Clerical experience.

Have experience with the Ariba On Demand (AOD) (Formerly My Florida Market Place (MFMP)) for the procurement of commodities; the State Purchasing Card system as purchaser and processing invoices; and the People First System for Human Resource related functions such as Personnel Actions and Timekeeper responsibilities.

Have a valid driver's license.
