The Criminal Justice Institute and the Treasure Coast Public Safety Training Complex are looking for a dedicated Administrative Assistant II to join our team!JOB SUMMARY:Under minimal supervision, this position provides administrative and clerical support of staff to the Criminal Justice Institute and the Treasure Coast Public Safety Training Complex. Responsible for ensuring Regional Training Center is in compliance with F.A.C. Rule 11B-21.005. Duties include providing assistance to manager; ensuring the smooth function of the operations; and completing assignments and projects in a timely and accurate mannerSPECIFIC DUTIES AND RESPONSIBILITIES:
  • Responsible for effective and organization within the Criminal Justice Institute; Director of the Regional Training Center per Rule 11B-21.005.
  • Assist all Criminal Justice Institute staff with clerical aspects of their respective job tasks.
  • Prepare appropriate forms and reports for all Criminal Justice Institute courses/programs as required by the College, the Florida Department of Law Enforcement, and Region XI.
  • Maintain Region XI and Criminal Justice Institute Advanced/Specialized Training courses and files per FDLE to ensure full compliance.
  • Maintain records of FDLE certified instructors and recertifying IRSC affiliated instructors through FDLE every four years.
  • Certify new Instructors through FDLE after completion of internships and enter into FDLE ATMS.
  • Create courses through Workday for each Basic Recruit Academy and register each student recruit in each course created.
  • Maintain daily Basic Recruit Academy Attendance Sheets; log daily hours to ensure FDLE requirements are met.
  • Prepare and record accurate minutes of all Advisory committee and Region XI Training Council meetings and disseminating minutes to appropriate individuals.
  • Maintain adjunct instructor, student and course files according to FDLE audit requirements.
  • Pre-audit both Advanced/Specialized Training and Basic Recruit files daily to ensure full compliance.
  • Maintain master filing system Enter all Criminal Justice Institute classroom and event reservations into EMS.
  • Prepare budget forms as directed and maintaining budget records and expenditures information.
  • Order expendable supplies/materials.
  • Assist students and agencies with information regarding course offerings and requirements.
  • Develop and maintain mailing lists for the dissemination of information to individuals and agencies with courtesy, enthusiasm and professionalism.
  • Evaluate responsibilities to determine most effective means to accomplish tasks in an organized and timely manner.
  • Respond to incoming phone calls and e-mails.
  • Assist all walk-ins whether they are visitors or employees.
  • Complete all other duties and responsibilities as assigned.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
  • Associate's degree or equivalent with a minimum of two (2) years of proven work experience in all areas of office administration.
  • Proven working knowledge of FDLE, CJSTC, F.A.C. Rule 11B, and Region XI Training Council standards and requirements.
  • Proven computer skills.
  • Ability to operate a variety of office machines.
  • Maturity and judgment to work with the public and confidential information.
  • Possess strong organizational skills.
  • Ability to pay close attention to detail simultaneously with other responsibilities and distractions.
  • Proficiency in general clerical and computer skills.
  • Ability to effectively communicate in writing, in person, and on the telephone.
  • Ability to perform duties in a timely manner with a minimum of supervision.
The following is preferred:
  • Basic knowledge of college programs and course offerings.
PHYSICAL DEMANDS:This position classifies the physical exertion requirements as light work involving lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. Even though the weight lifted may be very little, a job is in this category when it requires a good deal of walking or standing, or when it involves sitting most of the time with some pushing and pulling of arm or leg controls. To be considered capable of performing a full or wide range of light work, you must have the ability to do substantially all of these activities. If someone can do light work, we determine that he or she can also do sedentary work, unless there are additional limiting factors such as loss of fine dexterity or inability to sit for long periods of time.ADDITIONAL EXPECTATIONS:Requirements are representative of minimum levels of knowledge, skills and/or abilities.
