Salary Range
$38,000.00 depending on qualifications
Essential Functions
Reporting directly to the Dean, College of Arts and Humanities, this is an exciting opportunity to join a highly collaborative and supportive team. The Administrative Assistant II will be integral in helping the team carry out the mission and vision which will impact the mission of the university in our region. This position will serve primarily as the administrative assistant to and work closely with the Department of Art, Department of History, and Department of Communication. The position will also work with the staff in the College.
1. Perform day-to-day clerical and administrative functions in support of the assigned office. This may include record keeping, database management, appointment setting, preparation of reports, and receptionist duties.
2. Manage events and calendars for the Departments of Art, History and Communication including but not limited to event coordination, location scheduling, logistics related to visiting artists and scholars, and working with Gallery director on exhibition schedules.
3. Manage eforms and requisitions, receiving, supply purchasing, expense reimbursement, group and faculty travel, and maintain accurate financial records, including quotes, receipts, invoices, transaction logs, grant expense reports, and monthly reconciliations.
4. Assist with administrative tasks related to faculty, staff, and student hiring, including, but not limited to scheduling logistics, candidate reimbursement, adjunct offer letters, credentialing, and hiring paperwork.
5. Update and maintain department information and financial reports for the annual NASAD Heads report.
6. Assist with marketing and promoting for departmental events and programs.
7. Supervise student workers and lab assistants, including approving timesheets, to coordinate tasks and maximize efforts.
8. Maintain an open-door and service-oriented policy with faculty, students, and staff
Required Qualifications
1. Associate's Degree*
2. Three (3) years of administrative assistant experience.
* Additional experience will be considered in lieu of required education

Schedule
Generally, the normal work hours for the university are Monday through Thursday, 7:30 - 5:30 pm; Friday, 8:00 am - 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.
Standard Working Conditions
1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
