The headings in this Job Description are for convenience only.FunctionsProvides administrative and clerical support to the Department Managers and staff to ensure the efficient operation of the office. They assist in daily office needs and manage the department's and company's general administrative activities through a variety of concepts, practices, and procedures.Essential Duties and Responsibilities: Because Eastern Shipbuilding is continually growing to meet the needs of our customers, the essential duties and responsibilities may expand to include more than described.
  • Regular attendance at work and the ability to work flexible hours, including overtime, weekends, and holidays.
  • Upload and organize all bid documents to ensure accessibility and accuracy.
  • Create, update, and maintain comprehensive bid schedules.
  • Oversee and manage the bid day process, ensuring deadlines and requirements are met.
  • Log and track all new requests for quotes, updates, and clarifications in a timely manner.
  • Monitor the Estimating team's inbox, respond to inquiries, and ensure efficient communication.
  • Work independently and within a team on special nonrecurring and ongoing projects exercising diplomacy and tact.
  • Perform clerical work including scheduling appointments, tracking assignment statuses, and typing routine correspondence.
  • Answer the telephone and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Make copies of correspondence and other printed material.
  • Use standard office equipment such as computers, phones, photocopiers, fax machines, and filing cabinets.
  • Maintain appropriate levels and monitor office supplies, equipment, and other materials.
  • Conduct research and collect and distribute information/documents.
  • Organize and schedule appointments.
  • Plan meetings, take detailed minutes, and distribute them appropriately to attendees.
  • Manage multiple calendars.
  • Maintain contact lists.
  • Provide general support to visitors.
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
  • May handle confidential and time-sensitive data.
  • Assist in the preparation of regularly scheduled reports.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new deals and suppliers
  • Perform other duties as instructed.
Supervisory ResponsibilitiesThis position has no supervisory responsibilities.Reporting RelationshipThis position will report to the Department Manager.Job RequirementsQualificationsEducation/Experience:High school diploma or GED equivalent plus at least 6 months of experience providing administrative support. Working knowledge of standard office administrative practices and procedures is required. An equivalent combination of education and experience may be considered.Skills:Intermediate-level Microsoft Windows, Word, Excel, PowerPoint, and Outlook strongly preferred. The ability to read and interpret documents such as safety rules, Company policies/procedures, and governmental regulations is also a plus. Effective written and verbal communication skills are required. Ability to apply common sense understanding to carry out written and verbal instructions required.
