Position Overview: The Administrative Assistant II is an integral member of the Senior Management Team, who proactively provides administrative and organizational support to the leadership team. They will play a crucial role in facilitating the leadership team's effectiveness, managing administrative tasks, and ensuring smooth operations within the organization. They will serve the leadership team to assist in scheduling, email coordination and meeting preparation and will maintain timely day-to-day communication and coordination in order to empower their leaders to operate at full strategic capacity.Roles and Responsibilities
- Supports and assists the SVP, VP and AVP's in the operations division of Cayuga health system by providing full support for all incoming and outgoing communications along with being responsible for all calendaring.
- Compiles, edits and prepares documents, correspondence, and presentations. Independently creates and edits draft material, processes final documents, and arranges for distribution.
- Manages daily schedules aligning with current priorities and deadlines. Develops and maintains a system that alerts executives of upcoming deadlines, incoming requests and events.
- Remains knowledgeable about strategic goals and issues of importance to the COO's office in order to make informed decisions in all aspects of the job
- Responsible for coordinating travel and overnight accommodations as well as coordinating large-scale meetings across the health system and with external parties as identified including catering.
- Responsible for greeting people with a professional and customer service focus while also managing day-to-day priorities and challenges as they arise and are assigned
- Assist with coordination, preparation, editing and submission of presentations and reports for meetings including but not limited to Board of Directors, Senior Leadership, etc.
- All other duties as assigned
Minimum Qualifications:
- Minimum of five years of experience as an Administrative Assistant (or similar role) required
- Proficient in Word, Excel and PowerPoint.
- Must possess strong communication skills (written and oral) and ability to handle confidential information with discretion
- Sound decision-making and judgment with the ability to think and act under pressure while consistently exercising discretion
- Strong organizational skills needed
- Requires a professional and sensitive manner with patients, visitors, employees, and medical staff.
- Must be self-motivated with ability to work without close supervision.
- Attention to detail and accuracy is critical.
Preferred Qualifications:
- Associates degree in related field such as Business Administration and/or Bachelor's degree preferred. Relevant experience will be considered for the right candidate.
Physical Requirements:
- The employee is often required to sit and use their hands and fingers, to handle or feel and to manipulate keys on a keyboard. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
- The work environment is a pleasant office environment with typical noise level. The Administrative Assistant is occasionally required to travel to other organization and affiliate locations throughout the course of the job to meet with employees, attend meetings, and other related activities.
Work and Travel Requirements:
- Shift: Typically, 7:30 AM - 4:00 PM or 8:00 AM - 4:30 PM (may vary)
- Primarily onsite work, location may vary depending on where the leaders they support are working that day

- Hybrid flexibility will be offered with a heavy emphasis on face-to-face live interactions and a minimum of 4 days a week onsite.
- Travel to various organization and affiliate locations is a requirement of this position

Pay Range Disclosure:
- $23.25 to $26.50 per hour
