Details at www.duq.edu/benefits Location: School of Pharmacy Position Status: Full-time Hours: Varied Position Number: 001616/30-421 FLSA Status: Non-exemptPOSITIONSUMMARY:This is an administrative assistant position, serving as assistant to theAssociate Dean, Research and Graduate Programs and supporting the operations ofthe Graduate School of Pharmaceutical Sciences, a department of 24 faculty andover 50 students. This individual shalldemonstrate organizational skills, accuracy, diplomacy and good peopleskills. The administrative assistantwill exhibit independence, working within established policies, whilecooperating with other staff of the Graduate School of Pharmaceutical Sciencesand the Mylan School of Pharmacy to advance the goals of GSPS. The individualshall serve as a liaison between the GSPS and other departments at DuquesneUniversity.DUTIESAND RESPONSIBILITIES:Provides reports in the format requested, including but not limited to:financial, budgets, enrollment stats as requested, technology inventory,provide information for the school annual reports (webform & excelspreadsheet), etc.Provides timely, accurate and approved(per the policy) schedules, timesheets, Kronos submissions and/or leaverequests.Provides support to your designatedback up person and administrative staff members.Serves as Administrative Assistant to Assoc. Dean, Research and GraduatePrograms.Manage the Assoc. Dean's calendar;assist in planning conferences, travel and related events; schedule meetingsand follows up as needed.Develops complex presentations andExcel spreadsheets, compile and reports data on various topics.Maintains working order of officeequipment, orders office supplies.Completes otherduties as assigned.REQUIREMENTS:Minimum qualifications:Associates degreein a related field from an accredited institution.Preferred Qualifications:Bachelor's degreein a related field from an accredited institution.Alternately, the successful candidate may possess any equivalent combination ofexperience and training, which provides the knowledge, skills and abilitiesrequired to perform the essential job functions. This includes, but is notlimited to, the following:Unimarket processingPrepare mailingsfor GSPSSubmit workorders for GSPSReceives incomingphone calls and mail for GSPSPrepare reports,memoranda, and correspondence for Assoc. DeanPrepare, compile,and maintain statistics, records, files, materials, and resource databasesMaintainconfidential filesAttend meetingsas assigned, prepare agendas/minutes and track action itemsEnsure thatcompleted work conforms to established standards and criteria; establishesproper and effective proceduresMaintain variousbudgets within the GSPS as directed by the Assoc. DeanMaintain budgetfor AAPS Student Chapter, as directed by Assoc.
