About the Agency: The Idaho Division of Career Technical Education (IDCTE) provides leadership, administration, and coordination for programs in secondary and post secondary career technical education (CTE) and adult education across the state of Idaho. With a customer-service focus, the Division leads Idaho's efforts to prepare youth and adults for high-skill, in-demand careers.

Summary: This position performs complex secretarial, office administration, and public relations assignments; perform related work. This position requires responsible public relations with secondary and postsecondary educators, including stakeholders outside the agency. This position requires strong organizational and time management skills.

Responsibilities:

+ Primary daily administrative support to the Chief Educator Officer

+ Secondary administrative support to other members of the Educator Services Team, as needed.

+ Proactive management of communications and scheduling, including arrangement of and participation in meetings and drafting of minutes.

+ Preparation of agenda materials for stakeholder meetings with accuracy and timeliness, in cooperation with the Chief Educator Officer, Educator Services Team members, and other IDCTE staff.

+ Proactive facilitation of fiscal processes for Educator Services Team members and non-employees attending State Board, committee, or related meetings, conferences, or training sessions, including travel request processing, purchase requisitions, contract negotiation/execution, and billing.

+ Preparation of complex technical, executive, sensitive, and official correspondence, research reports, charts, agendas, and position papers.

+ Support to Educator Services staff with conducting research, preparing presentations, and coordinating special projects.

+ Serves as a member of the office administrative support team to coordinate office coverage, calendaring, and office-wide projects.

+ Other duties, as assigned.

Minimum Qualifications:

Good knowledge of:

+ office support functions including word processing, filing, composing a variety of business documents and reception;

+ researching, compiling, and summarizing data for reports.

Experience:

+ interpreting, applying and explaining complex information such as regulations, policies or services;

+ independently solving problems/performing liaison activities in a work setting;

+ coordinating activities requiring complex arrangements.

Preferred Qualifications/Specialties:

+ Intermediate word processing skills

+ Functional knowledge of Idaho's educational system

+ Investigative and research procedures

Experience:

+ taking minutes

+ + using spreadsheet software

+ using Microsoft Office or Microsoft 365 or equivalent

+ collecting and organizing data and managing a data base

+ interpreting, applying, and explaining complex information

Some knowledge of:

+ + Financial record keeping

+ Supervisory practices

+ Organization of electronic or print news media

+ State and local government organization structure

Good knowledge of:

+ + Educator terminology

+ Organizational awareness

+ Teamwork
