General Description

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Examples of Work Performed

Answer phone calls, route incoming calls, take messages, and greet visitors and direct them to the appropriate staff;

Review and route incoming mail;

Prepare, edit, and distribute correspondence, reports, forms, and documents;

Perform general clerical duties to include, but not limited to: photocopying, faxing, scanning, mailing, and filing;

Develop, coordinate, and maintain hard copy and electronic record keeping and filing systems;

Maintain calendar of meeting appointments;

Coordinate meetings, conferences, and seminars;

Make travel arrangements;

Research, price, and requisition goods and services;

Maintain inventory of office supplies;

Review and prepare invoices for submittal to Accounts Payable Section;

Assist in the development of administrative or technical assistance policies and procedures;

Perform data entry;

Review and submit timesheets;

May assist in compiling and analyzing data, making calculations, and preparing reports;

May receive and review forms, reports, and applications for completeness of information;

May train others;

Perform related work as assigned.

Education and Experience

High school diploma or GED;

Associate degree from a community college or vocational school is generally preferred;

Experience in clerical work or administrative support.

Certificates, Licenses and Registration:

Employee must have proof of a current valid Texas Motor Vehicle Operator's License;

Must be able to be insured by County Insurance carrier.

Knowledge, Skills and Abilities

Knowledge of office practices and administrative procedures;

Skill in the use of personal computer and related office equipment;

Skill in the use of software applications (e.g., Microsoft Word, Excel, and Outlook);

Ability to understand and follow written and verbal instructions;

Ability to communicate effectively orally and in writing.
