The Administrative Assistant will provide administrative support to the Technology and Operations Senior Leadership team. The incumbent will provide calendar management, assist with ordering materials, prepare communications, and organize division events.

Job Responsibilities:

* Calendar and administrative support to the TechOps Senior Leadership team which includes managing SVPs calendars no less than 2 weeks in advance, preferably 4 weeks as much as possible, arrangement of commitments, including meeting locations and any specific needs, and streamline schedules so the SLT has time for strategy and reflection throughout the day.

* Ensure that meeting requests have agendas and supporting documents and that the senior leader has time planned out to read the paperwork needed for each meeting.

* Coordination of travel arrangements for Senior Leadership team.

* Timely and accurate preparation of presentations, communications, and other related items as needed.

* Perform project-oriented assignments for department which includes researching data, compiling information, and preparing formal results.

* Organize and implement events such as Senior Leadership Team meetings, offsites, Town Halls, and Associate engagement events including division volunteer events.

* Provide general division administrative support which includes maintaining Distribution Lists, managing, and maintaining common areas, restocking and cost-efficient ordering for kitchen supplies, and maintaining conference rooms.

* Participate in periodic testing of equipment and troubleshoot as needed.

* Provide back up support for the Executive Assistant, as needed.

* Process corporate card reconciliation and expenses for the Senior Leadership Team.

* Reconcile expense reports within 15 days of the end of each month.

* Learn the team/organization, develop relationships, and look for opportunities to create efficiencies in role.

Minimum Qualifications:

* Must have high school diploma or equivalent.

* Minimum of 2 years of relevant administrative experience, including experience managing calendars, scheduling meetings, and processing invoices.

* Must have excellent interpersonal communication and telephone skills.

* Must have proven intermediate skill using Microsoft Office, including Word, Excel, PowerPoint, and Publisher.

* Must have strong attention to detail, organizations skills and the ability to multi-task simultaneously answering phones and serving face to face customers.

* This position will have frequent contact with all levels of Bank Center Associates, Customers, vendors and service providers.

* Must have experience in Visio.

* Experience supporting multiple leaders is preferred.
