Job DescriptionJob Description:This position reports to the Director of Broadcasting but provides administrative support to all the functional areas of KCCU-FM, Cameron University's public radio station. More specifically, this position oversees the administrative aspects of an office by performing complex secretarial, administrative duties, and assuring efficient office operation. The Administrative Assistant advises others on processes, procedures, and services. Communicates and assists students and administrators on University policy matters. Gathers information and prepares various reports, correspondence, and memorandums; researches and resolves issues. Maintains files and assists in the preparation and maintenance of the departmental budget.Job duties as Administrative Assistant include, but are not limited to:Preparing purchase requisitions and tracking through payment of invoices.The position is responsible for reconciling invoices and statements and managing operation budgets for the department.The Admin Assistant is responsible for purchases and invoices and should have knowledge of University or state requisitioning and purchasing procedures.The position organizes and controls KCCU member account information, including entering transactions into the Banner system.The Admin Assistant assists with functions that are custom to a broadcasting office, for example on-air typed announcements and history/documentation records to meet audit expectations.Responsible for creating online job requisitions for employment and Request of Support Staff/Professional Changes (RSP) forms for employee changes.The Admin Assistant works with the Director of KCCU to identify other areas of opportunity to better streamline and improve current procedures.The Admin Assistant greets and screens visitors and phone calls; relays messages, responds or takes necessary action or refers to appropriate person for resolution.The duties listed in this job description are intended only as illustrations of the various types of work that may be performed.MINIMUM QUALIFICATIONS:Graduate of a standard high school or equivalent.Two to three years of administrative and/or secretarial experience; related post-secondary courses from an accredited institution may be substituted for experience.A strong background in bookkeeping and managing accounts is necessary.Ability to type fifty (50) words per minute and be proficient in the use of Excel and Microsoft Word, and Database Management.Thorough knowledge of spelling, punctuation, and grammar.Ability to work independently under minimal supervision as well as the ability to use good judgment in making job-related decisions.Experience with records management.PREFERRED QUALIFICATIONS:Associate's Degree or Vo-Tech certification, or college-level coursework in data processing or management information systems and/or related experience with other federal or state programs.Experience with current versions of MS Word, MS Access, MS Excel, and MS Publisher.Familiarity with the use of computer networking, e-mail, internet, and use of peripheral devices.Demonstrated ability to independently learn new programs and software and handle multiple tasks.PHYSICAL REQUIREMENTS:Ability to lift objects under 15 pounds including using the upper body to raise objects from a lower position to a higher position; ability to reach including extending the arm and hand; ability to stand for short or extended periods of time; ability to engage in repetitive motions including finger dexterity; ability to speak, hear and see.
