Job Description:The Division of Vocational Rehabilitation is looking for an organized, helpful and dynamic team player to provide administrative support to the Chief of Field Services. Duties include but are not limited to:
- Administrative:
- managing records and files for the bureau, and their appropriate disposal
- maintaining calendars and itineraries
- preparing memoranda, emails, reports, and letters
- developing and analyzing spreadsheet, graphs, and charts of data
- responding to telephone inquiries
- assisting with meeting planning to include meeting logistics, transportation, training materials, schedules, registrations, travel, and hotel/meeting space logistics
- Purchasing
- preparing, tracking, amending, canceling or closing-out purchase orders and p-card transactions
- ensuring that services and commodities are procured accurately and received timely
- tracking budget allocations, encumbrances, expenditures, reconciling monthly expenditures, and briefing the supervisor
- Travel:
- preparing and processing travel authorizations and reimbursements
- coordinating travel logistics and itineraries
- tracking travel expenditures and projecting estimated cost for planning purposes
Minimum Requirements: - A bachelor's degree from an accredited college or university, and two years of administrative experience. A master's degree from an accredited college or university can substitute for one year of the required experience. Administrative or clerical experience can substitute on a year-for-year basis for the required college education.
