Your Specific Responsibilities:

The incumbent an employee of the Florida Department of Health works to protect, promote and improve the health of all people in Florida through integrated state, county, and community efforts. The incumbent is expected to promote innovation by searching for creative solutions and managing resources wisely. Provides CHD Administrator executive support through preparing correspondence, reports, and newsletters. Coordinates meetings, conference rooms and travel. Maintains electronic calendar and monitors and updates departmental intranet, as well as special projects as directed. Attend SMT and Leadership meetings and serve as the recorder of the minutes. Attend other meetings and trainings as required.

Assistance in planning and organizing of meetings, preparing reports, filing, and organizing documents, recording and typing meeting minutes. Clerical duties, faxing, copying, and distributing documents. Responsible for courier items and mail; process incoming and outgoing mail, date stamping received mail, logging checks, sorting and sending to appropriate party according to local policy and guidelines; weigh and adding postage to outgoing mail for pick-up by postal workers. Completing special projects and other administrative support as assigned by Health Director and Business Manager.Liaison to consortium personnel officer for Bradford and Union DOH. Responsibilities include those listed in Attachment 2 Responsibilities of Service Recipient Personnel Liaisons. Including, but not limited to submitting necessary forms for hiring, changes in personnel including but not limited to hiring packets, separations, position descriptions and performance standards. Coordinate's background and drug screening as required for all new employees (as well as rescreening requirements). Incumbent maintains updated position descriptions for staff, assists with onboarding and training of new hires. Ensures staff are kept up to date on personnel initiatives and policy/procedure change. Serves as the key point of contact for FLHealthDesk-HR processes, notifies and directs Supervisors and other applicable staff of next steps of open tickets until the process is complete. Performs other duties withing the realm of personnel liaison as assigned.

Responsible for receiving and logging deliveries to the CHD. Notifies appropriate staff upon delivery of materials and goods. Submits receiving slips and invoices to business staff.

Liaison to assist with organization and management of New River Board Meetings and trainings, including communicating with board members to notify and remind of upcoming meetings/trainings, collecting and disseminate relevant information and documents, notation of board meeting minutes, and maintain board calendar. Ensure all documents meet FDOH and HRSA Board Governance requirements. Maintain credentialing and privileging folders of all clinical staff assist with preparation of site visits and/or audits.

Attends staff trainings/meetings to enhance knowledge, skills, and abilities as they relate to duties and responsibilities. Maintains professional development through job-related lectures, seminars, and online trainings, for being required to work during or beyond normal work hours or days in the event of an emergency. Emergency operation functions required but are not limited to special needs shelters, Red Cross shelters or other emergency functions.

Ability to work independently and manage time accordingly.

Skilled with technical applications including Microsoft office and Excel.

Ability to maintain excellent interpersonal, written, and verbal communication, and customer service skills.
