Ready to Start Your Career with the City of Temple?SummaryResponsible for performing general office tasks and provides support to the Housing and Community Development Department. Works under general supervision, uses independent judgements within limits of applicable rules, regulations, policies, and procedures.Essential Duties and Responsibilities
  • Provides daily support to the Director with a variety of tasks to include calendar management
  • Oversees a variety of projects, including the Annual Departmental Retreat, departmental meetings, and events
  • Ensures communication sent via mail, fax, or phone is distributed timely
  • Answers calls, provides response and/or routes calls from external/internal sources
  • Performs basic cash handling procedures, creates budgetary reports, processes purchase orders, requisitions, and payment of invoices
  • Assists the Grant Division with applying for grants; verifies CDBG hours are accurate
  • Assists with maintaining the departmental website for the city
  • Organizes departmental calendar for meetings; assists with the preparation, including setup and food orders, and prepares meeting minutes
  • Submits the agenda for Neighborhood Revitalization Board meetings, and records minutes and attendance
  • Coordinates the Housing Resource Center intern activities
  • Serves as the 311 liaisons
  • Assists with travel requests and reimbursements
  • Ensures communication sent via mail, fax, or phone is distributed quickly and correctly
  • Prepares, files, and maintains physical or electronic records and documents in required formats
  • Maintains office supplies, organization, and supply ordering
  • Serves as the department payroll liaison, submits transactions in HRIS system; assists with new hire onboarding
  • Drives to other locations to perform office related tasks and errands
  • Follows the city policies, procedures, and safety guidelines
  • Performs other duties as assigned
Minimum Qualifications
  • Combination of education and experience equivalent to an Associate's degree in Business or related field
  • Four (4) years of experience in professional office setting, customer service industry or related field
Preferred Qualifications
  • Bilingual in English and Spanish
Certificates, Licenses, Registrations
  • Valid Driver's License
