Position Summary
Join our team as an Administrative Assistant and Receptionist, where you will be the welcoming face of the Dean's office, providing essential administrative support to the Chief of Staff for the Dean while maintaining a well-organized and inviting reception area. Reporting directly to the Chief of Staff, you will play a crucial role in ensuring the smooth operation of the office.
Minimum Qualifications
+ Associate's Degree from a regionally accredited college or university
+ Minimum of three (3) years of related experience.
+ Must be proficient in Microsoft Office Suite.
+ Ability to communicate effectively orally and in writing.
+ Must be able to type 45 WPM .
Preferred Qualifications
+ Bachelor's Degree preferred from a regionally accredited college or university
+ Experience working in an academic and clinical setting with matrixed reporting relationships is also preferred.

Job Duties
Description of Job Duty
Administrative Support:
This is an in-person position, requiring daily attendance in the office during core working hours. The incumbent will assist the Chief of Staff with various administrative tasks, including scheduling meetings, managing calendars, booking travel arrangements, and handling expense submissions.
Provide support for special projects as needed, demonstrating flexibility and a willingness to take on diverse tasks.
Receptionist Duties:
Supports reception duties for the Dean's Suite, welcoming and assisting visitors, answering phone calls, and ensuring a professional and friendly atmosphere.
Maintain the reception area, ensuring it is always well-organized, clean, and presentable.
Office Management:
Take responsibility for the overall tidiness and organization of the office space, including common areas, storerooms, and workspaces.
Collaborate with colleagues to ensure a clean and orderly office environment that fosters productivity and efficiency.
Finance Support:
Responsible for initiating the invoicing process for the Dean's Office, inputting invoices into the system, and overseeing the routing and approval process for payments.
Provide administrative support to the AVP of Finance and Business Operations as needed.
Package Handling:
Receive and distribute packages and mail for the Dean's office, ensuring timely and accurate delivery to the appropriate recipients.
Event Coordination:
Assist in the planning and coordinating of special events and activities as required, contributing to the success of various departmental initiatives.
Administrative Tasks:
To support office operations, perform word processing, desktop publishing, graphics work, and data entry.
Prepare requisitions, check requests, blanket purchase orders, and other financial documents, ensuring accuracy and compliance with established procedures.
Supply Management:
Generate purchase and order lists for office supplies and equipment and liaise with local vendors to procure necessary items to meet departmental needs efficiently.

Immunization Requirements
It is MSM's Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate's offer of employment or disciplinary action up to and including termination.
