Job Summary
The University of North Georgia is currently accepting applications for an Administrative Assistant III on the Gainesville campus. This position provides administrative assistance to the Gainesville AVP/Dean of Students, the Associate Dean for Student Care & Outreach, the Coordinator for Student Integrity, and the Family Engagement Manager. Housed at the front desk in the Student Engagement and Success Office where a variety of student-related services are provided, this position serves as the central point of contact for the Dean of Students, which includes interacting with a variety of constituents including students, parents, attorneys, faculty, and staff and requiring sensitive and confident response. In addition to background checks for all cardholders, O.C.G.A. 50-5-83 requires a credit check on all employees issued a purchasing card. Additionally, credit checks must be run at the time of Pcard renewal.
Responsibilities
* Serves as the front-line contact for the office, managing phone calls, emails, and other correspondence for the AVP/Dean of Students, Associate Dean of Student Care & Outreach, Coordinator of Student Integrity, and Family Engagement Manager to include handling sensitive information with extreme attention to detail in written, electronic, phone, and in-person communication.
* Schedule appointments and room reservations for meetings initiated by the AVP/Dean of Students, Associate Dean of Student Care & Outreach, Coordinator for Student Integrity, and Family Engagement Manager and manage calendar for AVP/Dean of Students.
* Process Excused Absence notifications & Hardship Withdrawals upon approval from the Dean of Students. Provide referrals to Associate Dean for Student Care & Outreach or other departments as appropriate. Process administrative holds and hold removals as necessary.
* Supports the Student Integrity Office through arranging panel hearings/administrative hearings, preparing hearing materials, and maintaining data related to hearings.
* Arranges for travel and handles travel reimbursements requests, purchasing requested items, reconciling budgets and purchasing card statements. Assists other Gainesville Student Engagement and Success staff members with preparation of travel reimbursement requests. Tracks and monitors expenses for the Gainesville AVP/Dean of Students, Family Engagement Manager, Coordinator of Student Integrity, and other staff in the office. Maintains a purchasing card for allowable purchases, allocates transactions monthly. Generates check requests and expenditure requests.
* Assist with division-wide event planning and logistics, including reservations, communications, and day-of-event implementation and assists with other duties as assigned.
* Manage assessment reports regarding Behavioral Intervention Team (BIT), student support, excused absences, hardship withdrawals, etc., via Maxient.
* Uses sound judgement and discretion to manage, support and triage individuals regarding the wellness outreach to students in crisis, students with illness or other health concerns. Determines the appropriate way to help address and resolve related student situations and concerns to fully support student engagement and success.
Knowledge, Skills, & Abilities
* Requires a knowledge of and adherence to FERPA regulations.
* Understanding of student affairs philosophy and understanding of student development preferred.
* Must have good interpersonal and communication skills with the ability to diffuse emotional encounters and work with students, parents, faculty, staff, and executive leadership.
* Excellent customer service skills and organizational skills required.
* Strong organizational & multi-tasking skills needed.
* Requires the use of various technology platforms.
* Requires the ability to pay strong attention to details and an ability to quickly absorb and correctly disseminate information.
Required Qualifications
* Associate's degree or two years' college coursework required.
* Five (5) years of clerical/administrative experience, preferably in a college or university setting;
* Or equivalent combination of education and experience.
