Job Description:

A growing and dynamic Private Equity/Investment Firm in Midtown Manhattan is seeking an experienced Administrative Assistant to help support (7) members of the Investor Relations (IR) team. Candidates must have 2-5+ years of applicable administrative experience working in a fast-paced, corporate environment (ideally within financial services) and a Bachelor s degree is required/strongly preferred. Ideal candidates should be extremely professional, polished, organized, detail-oriented, and possess a proactive team mentality and possess excellent calendar management skills. This is a great place to work with little to no turnover.

  • Salary depends on experience (80-120k base) plus discretionary year-end bonus, 100% company paid benefits for employee (medical/dental/disability/etc.), 401k, free gym in building, etc.

Responsibilities:

  • Schedule and organize extensive internal and external meetings, conference/video calls, and appointments across various time zones; manage and maintain busy and ever-changing calendars.
  • Plan and coordinate complex domestic and international travel arrangements and detailed itineraries.
  • Prepare, process, and submit expense reports using Concur.
  • Maintain various spreadsheets for the department.
  • Work closely with the Receptionist/EAs in office.
  • Interact with existing and future investors in a professional manner.
  • Assist with other projects and responsibilities at the team s discretion.
  • Print and bind large amounts of marketing materials.
  • Provide back-up support to the Administrative Team as needed.
  • Assist with ad hoc projects, including event planning.

Required Qualifications:

  • Minimum 2-5+ years of applicable administrative experience working in a corporate environment, ideally within financial services.
  • A Bachelor s degree is required/strongly preferred.
  • Detail-oriented and organized.
  • Excellent interpersonal and communication skills (both verbal and written).
  • Desire to go above and beyond for all required tasks.
  • Proven ability to multi-task and effectively prioritize.
  • Proactive and assertive, with the ability to think quickly on their feet.
  • Strong proficiency in Google Workspace and Microsoft Office Suite.
  • Working knowledge of office equipment, such as printers, copiers, and video-conference devices.
  • Positive attitude with the ability to problem-solve.
  • Polished, professional, and team oriented.
